As a key member of the elective access team, the post holder will monitor patient pathway progress, support the achievement of national targets and collaborate with the healthcare multidisciplinary team (MDT) to facilitate the delivery of weekly MDT meetings.
Responsibilities
1. Monitor and validate the Trust’s patient tracking list (PTL), informing the Elective Access Team Leader of any capacity issues related to the Cancer and 18‑week Referral to Treatment (RTT) targets.
2. Collect and enter data for diagnosed and suspected neurosurgical patients into the appropriate databases.
3. Track and facilitate patient progress on diagnostic and treatment pathways.
4. Support the achievement of national waiting‑time targets.
5. Prepare and facilitate weekly MDT meetings.
6. Ensure accurate registration of patient records and clinical details for pre‑assessment appointments and elective admissions in electronic patient record (EPR) and other systems in line with Trust policy.
7. Maintain filing and office duties, including attendance at weekly theatre meetings and use of the Theatre Information Management System (TIMS).
8. Exercise judgement to analyse and resolve problems, working unsupervised and planning own time.
9. Provide information and advice to patients and relatives about waiting times and handle patient enquiries with professionalism.
10. Validate inpatient waiting lists, keep lists ‘clean’, and ensure correct pathway placement in line with Trust policy.
11. Communicate cancellations to relevant parties, develop cancellation protocols and offer replacement places where appropriate.
12. Assist with cross‑cover for other Waiting List team members during leave or sickness.
13. Ensure confidentiality of all electronically stored and written information in accordance with Data Protection and Patient Confidentiality policies.
14. Adhere to Trust Equal Opportunities, Health and Safety, and 28‑day rule policies.
15. Book all pre‑operative assessment appointments and liaise with clinicians, managers, nurses and administrative staff to maximise capacity.
16. Carry out any additional reasonable duties assigned by management, and support other administrative departments as needed.
Qualifications
* Experience in waiting‑list management.
* Understanding of medical terminology.
* Excellent communication skills, both verbal and written, with the ability to handle potentially distressing conversations.
* Strong organisational and time‑management skills; able to work independently.
* Proficiency with EPR, TIMS and other clinical databases.
* Knowledge of Trust policies relating to elective access, data quality and confidentiality.
