Mainstage Festivals is a market leader in overseas festivals, specialising in delivering music events in unique locations.
Our current portfolio includes Snowboxx, a 5,000-person festival set in a breathtaking ski resort in the French Alps; Kala, which in 2018 became Albania's first-ever international music festival and paved the way for new events along the stunning Albanian Riviera; and Explorations, a festival we run in partnership with Anjunadeep. Looking ahead, Mainstage Festivals will be launching several new projects over the coming years, alongside further expansion of our team to manage a growing portfolio of festivals and events.

The role
The Operations & Sales Coordinator plays a key role within the company, supporting day-to-day operations as well as longer-term development. The role involves working closely with colleagues, suppliers and on-site teams to help ensure the smooth delivery of all operational areas of the business.
Operations & Sales Coordinator duties will include, but are not limited to:
* Accommodation Stock Management
: Keep accommodation inventory up to date across internal sheets and customer booking site, ensuring availability and allocations are accurate.
* Add-On Stock Management
: Oversee stock levels and allocations for extras such as transfers and experiences, ensuring all information is correctly uploaded and displayed accuratley on the booking system.
* Supplier Management
: Manage and maintain strong relationships with accommodation and extras suppliers, keeping contracts, pricing and details up to date, and agreeing and updating stock allocations.
* Sales and Reporting
: Monitor sales and prepare forecasts and reports to be shared with the wider team, supporting with marketing campaigns and sales timelines.
* Customer Relations Support
: Provide support to the customer service team to answer customer queries relating to accommodation, extras and sales.
* On-site Operations Delivery
: Be part of the on-site festival team - supporting staff and suppliers, resolving issues as they arise, and ensuring that all sold packages and customer experiences are delivered smoothly and to a high standard
* Business Development and Research
: Assist in exploring new opportunities for growth, research competitors and suggest improvements to existing products and processes.
Experience Required
* 0-2 years of experience in operations, logistics, sales or event coordination, ideally in the festival or travel and tourism industry (including internships, volunteering or part-time roles).
* Confident with Google Workspace, particularly Google Sheets.
* Experience communicating with others in a professional setting and maintaining clear, accurate information

* Excellent eye for detail, ensuring work is accurate and thorough.
* Works effectively as part of a team, while also taking responsibility for individual tasks.

* Willingness to work flexibly, including evenings, weekends and extended hours during festivals.
* Genuine enthusiasm for live events, festivals, and the travel and tourism industry.

Snowboxx: 14th - 21st March
On-site dates: 8th - 23rd March
Kala & Anjunadeep Explorations: 3rd - 10th June & 11th - 16th June
On-site dates: 25th May - 18th June
*Additional on-site days may be required based on the scope of upcoming projects
