We are looking for a highly organized and proactive Senior Administrative Assistant to join our team in Washington, District of Columbia. In this Contract-to-permanent position, you will play a vital role in supporting multiple departments and senior leaders, ensuring smooth operations and efficient communication. This role requires excellent scheduling and project management skills, as well as the ability to confidently interact with members and external stakeholders.
Responsibilities:
• Coordinate and manage multiple calendars for senior leaders, ensuring seamless scheduling of meetings and resolving conflicts as needed.
• Develop and distribute detailed slide decks and other meeting materials to support departmental goals.
• Serve as a key point of contact with members and their assistants, facilitating effective communication and collaboration.
• Organize and oversee various projects, including maintaining speaker forms and managing vendor inventory.
• Assist in scheduling and hosting conference calls, ensuring all participants have necessary information.
• Handle inbound calls efficiently, providing accurate information and routing inquiries appropriately.
• Ensure timely updates to schedules, including changes and adjustments, while maintaining accuracy.
• Support the preparation and coordination of content for meetings and presentations.
• Collaborate with team members to streamline administrative processes and improve efficiency.• Proficiency in Concur and CRM systems for administrative and project management tasks.
• Demonstrated expertise in managing complex calendars and coordinating schedules.
• Strong communication skills, both written and verbal, with the ability to interact professionally at all levels.
• Experience in scheduling meetings, handling schedule conflicts, and ensuring timely updates to calendars.
• Ability to manage multiple priorities and projects simultaneously in a fast-paced environment.
• Familiarity with answering multi-line phone systems and handling inbound calls.
• Solid organizational skills with attention to detail and commitment to accuracy.
• Prior experience in supporting senior leaders or executive teams is preferred.
