Purpose of the role: To ensure the operation of the entire day is implemented to a high standard. You will be a point of contact for drivers, team leaders, planners, and customer service. You will have responsibility for ensuring the smooth delivery of customer vehicles while protecting the brand. Alongside this you will take the primary role of stock management using the businesses bespoke system, security of keys and the site and effective reporting of spending and vehicle defects. You will be asked to report daily to the operation team leaders informing them of any staffing issues, working with different areas of the business to ensure any vehicle defects are reported and rectified. Key Responsibilities Demonstrate leadership while overseeing the operation of the hub and VHS team. Work with all members of the team and wider business to ensure effective working relationships with colleagues across the business Promote detailed and informative vehicle tours, brand values, the customer journey and the need to provide the best customer service possible Ensure customer vehicles are checked on arrival to the hub and any defects are reported and rectified with the agreed SLA to keep aborts to a minimum Allocate keys to drivers to collect vehicles while checking their devices to ensure the correct vehicles is being taken off site Ensure the security of site, this may include opening and closing of the site building and liaising with external security companies Report and Health and safety issues to the correct department Liaise with planners to ensure the daily work plan is achievable then share the final plan within the team Fairly distribute duties among the team To complete daily roll call and time management of drivers, reporting all sickness/absences To ensure the operation is being cost effective, ensuring initiatives are being implemented to minimise cost and maximise service performance Understand vehicle appraisals and the devices used to complete them, ensure paperwork is being used if the electronic devices fail and ensure these are reported to IT Complete any deliveries that are failed by drivers, added to the plan late or runner jobs where required Take part in meetings at a local level Take accountability to ensure policies and procedure are being always followed Ensure that all new starters receive and positive welcome and hub induction Skills required: Excellent communication skills using a variety of methods including using email, Teams, telephone, and internet. Able to use word processing, email, and other internet-based software Have the ability to understand and use different IT skills and handheld devices / laptop. Have the ability to appraise a vehicle to a high standard using a held device. Enjoy planning and problem solving Ability to deal with stressful situations The ability to write clear and concise reports Being able to complete physical tasks in an outdoor environment Having the ability to work as part of a team and in isolation Being able to appropriately delegate tasks to others Having the ability to deal with conflict management, negotiation, and arbitration.
