RECEPTION ADMINISTRATOR

MONDAY - THURSDAY: 8.00AM - 4.00PM & FRIDAY: 8.00AM - 3.30PM

ANNUAL SALARY OF £29,870

People Solutions are currently recruiting for a Reception Administrator / Facilities Manager to join our well-established client based in Wolverhampton on a full-time permanent basis. Day-to-Day Duties:

Reception Duties:

* Manage main reception, ensuring preparation for visitors before arrival
* Meet and greet visitors professionally, verify ID, and notify hosts
* Issue and track visitor access cards
* Direct visitors to the correct areas, assist with WiFi, meeting rooms, and staff contacts
* Handle incoming calls, emails, Teams messages, and direct queries
* Prepare outgoing mail and manage deliveries, including signing and distribution
* Arrange catering for visitors when required
* Maintain and monitor ground floor breakout area, stock, and housekeeping
* Facilitate new starter induction with HSE and HR
* Manage photocopier consumables and office supplies
* Maintain clean, organised, and secure reception area
* Conduct end-of-day security checks, including returning visitor passes, locking away documents, shutting down devices, and securing fire doors

Business Administration Duties

* Support Facilities function with purchase requests and general admin
* Assist with indirect procurement and obtaining supplier quotations
* Maintain supplier information within Supply Chain Portal
* Produce monthly KPI graphs and charts in Excel
* Book hire cars and accommodation according to company procedures
* Manage document filing and scanning
* Perform ad-hoc duties as required

Essential Skills

* Strong stakeholder management and ability to liaise with other departments
* Proficient in MS Office: Outlook, Word, PowerPoint, Excel (intermediate level)
* Able to work independently with minimal supervision
* Self-motivated with excellent communication skills

Desirable Skills

* Experience in Reception or Facilities management in a professional environment
* Ability to manage multiple priorities and tasks efficiently

Training:

* Full training will be provided on company systems and processes
