Reporting into the Facilities & Maintenance Manager, this role sits within the Central Services function and provides operational coordination of facilities and waste services across the Smiths News estate. You will act as a key link between sites, suppliers and internal teams, ensuring services are delivered consistently, safely and efficiently.
About the Role
1. Act as the first point of contact for facilities-related requests, logging, triaging and progressing issues through to resolution
2. Coordinate day-to-day facilities services across the network, ensuring effective delivery from contractors and suppliers
3. Manage waste service operations, including scheduling, missed collections and escalation of service issues
4. Maintain accurate waste and facilities records, trackers and documentation
5. Support purchase order processing and invoice validation for facilities and waste services
6. Coordinate contractor attendance, site access and basic permit-to-work processes
7. Monitor service performance across sites, identifying trends and escalating risks or recurring issues
8. Work closely with sites to ensure facilities issues are resolved promptly and effectively
9. Act as an operational support to the Facilities & Maintenance Manager, ensuring continuity of service delivery
10. Support safe and compliant operations by ensuring adherence to health, safety and environmental procedures
11. Liaise with internal stakeholders and external partners to maintain service standards across the estate

About you
18. Experience in facilities coordination, operational administration or service delivery roles
19. Strong organisational skills with the ability to manage multiple priorities and requests
20. Confident communicator, comfortable liaising with sites, suppliers and internal teams
21. Good administrative capability with strong attention to detail and accurate record keeping
22. Experience working in a multi-site environment (desirable)
23. Experience coordinating contractors or service providers (desirable)
24. Awareness of health, safety or environmental procedures (desirable)
25. Ability to problem-solve and take ownership of issues through to resolution
