Overview
We are urgently seeking a highly experienced Executive Assistant to provide maternity cover, supporting the CEO of a global organisation specialising in digital infrastructure and data services. This global company provides secure, high-tech facilities that large businesses rely on to store and manage their most critical data; therefore, the highest degree of discretion and confidentiality is essential.
This is a fast-paced role requiring an EA with at least 10 years of C-Suite experience, ideally supporting a CEO. The successful candidate will be polished, resilient, and confident acting as a world-class gatekeeper, fiercely protecting the CEO’s time and having the authority to say “no” to investors and senior stakeholders, while maintaining professionalism and diplomacy.
Alongside core Executive Assistant duties, the role will also involve a range of Personal Assistant responsibilities as well as planning and coordinating company and office events. This is an exciting opportunity to join a supportive, sociable team in a fast-paced and rewarding environment.
On offer is a competitive pro rata salary, together with a generous 10% pension contribution, lunch allowance, and private medical cover. The role is office-based in Victoria, with core hours of 9:00am–5:30pm, Monday to Friday, and some flexibility required outside these times.
Responsibilities
* Extensive diary and inbox management, prioritising and coordinating a demanding schedule
* Acting as first point of contact for the CEO, screening calls and correspondence
* Serving as a strong gatekeeper, protecting the CEO’s time and managing access with authority and discretion
* Coordinating domestic and international travel arrangements, including itineraries, flights, accommodation, and visas
* Preparing documents, reports, and presentations to a high standard
* Liaising with key stakeholders, board members, and investors in a professional and confident manner
* Handling confidential information with the utmost discretion
* Assisting with personal administration and ad hoc private matters for the CEO
* Organising internal meetings, board meetings, and company-wide events
* Supporting with office event planning and coordination (e.g. team gatherings, corporate events)
* Managing expenses, invoices, and general administration
* Problem-solving and ensuring seamless operations in a fast-paced environment
Essential criteria
* Minimum 10 years of experience as a C-Suite Executive Assistant, including direct support to a CEO
* Proven ability to juggle competing priorities and thrive in a fast-paced environment
* Confident gatekeeper with the authority to push back when necessary, while remaining polite and professional
* Excellent communication skills — both written and verbal — with fluent English
* Strong organisational skills, meticulous attention to detail, and ability to work autonomously
* A collaborative team player with a positive, proactive attitude
* Available to start immediately and work full-time, on site in Victoria (5 days per week)
* Flexibility to assist outside of core hours (9am–5:30pm) when required
* Excellent verifiable references and full right to work in the UK
