Location: Wargrave Surgery, Wargrave, Berkshire

Salary: Dependant on experience

Hours: Full-time

We are a friendly, forward-thinking NHS GP practice committed to delivering high-quality, patient-centred care. Our team includes GPs, nurses, allied health professionals, and administrative staff working collaboratively to support our local community. We are now seeking a skilled and motivated Medical Secretary / Clinical Coder to join our practice team.


Role Summary

This dual role is essential to the smooth running of our clinical operations. You will provide efficient secretarial support to our clinicians and ensure accurate and timely clinical coding of patient records to support QOF, enhanced services, and data quality initiatives.


Responsibilities

* Medical Secretary Duties
o Manage incoming and outgoing correspondence, including referrals, reports, and patient letters
o Liaise with hospitals, community services, and other healthcare providers
o Maintain confidentiality and uphold data protection standards
o Provide comprehensive secretarial support to GPs and other clinicians
o Maintain accurate patient records and uphold confidentiality standards
o Support the practice with administrative tasks including document scanning, coding, and filing
* Clinical Coding Duties
o Accurately code clinical information using SNOMED CT
o Support QOF, IIF, and other performance frameworks through timely coding
o Work closely with clinicians to clarify and validate coding entries
o Assist with audits and data extraction for reporting and improvement
o Accurately code clinical information from GP and hospital correspondence, pathology results, discharge summaries, and consultation notes using SNOMED CT
o Apply codes to reflect diagnoses, procedures, investigations, and relevant health indicators
o Ensure coded data supports effective patient recall, disease registers, and reporting tools
o Work with GPs and clinicians to clarify unclear terminology and ensure accurate record keeping
o Coordinate and manage all administrative tasks related to death processing, liaising closely with GPs and the Medical Examiner to ensure timely and accurate completion of required documentation and processes in line with NHS protocols and legal requirements
o Review incoming correspondence and clinical letters, accurately identify any actions required, and promptly allocate these to the appropriate team member to ensure timely follow-up and resolution
o Ensure patient records are accurate, consistent, and updated in a timely manner


Essential Skills & Experience

* Previous experience in a GP practice or primary care setting
* Strong understanding of medical terminology and clinical coding systems
* Proficiency in EMIS Web or similar clinical systems
* Excellent organisational and communication skills
* Ability to work independently and as part of a team
* Commitment to patient confidentiality and data protection


Desirable Qualifications

* AMSPAR Medical Secretary Diploma or equivalent
* Accredited Clinical Coding qualification
* Knowledge of QOF, IIF, and NHS data requirements

This dual role involves providing comprehensive secretarial support to clinicians, including managing correspondence, referrals, and patient communications, while also ensuring accurate and timely clinical coding of patient records using Read Codes and SNOMED CT. The successful candidate will play a key part in maintaining data quality for QOF, IIF, and other performance frameworks, and will liaise with hospitals and community services to support seamless patient care. Strong organisational skills, proficiency in clinical systems such as EMIS Web or SystmOne, and a sound understanding of medical terminology and coding standards are essential. Experience in a primary care setting and relevant qualifications such as AMSPAR or clinical coding accreditation are highly desirable.
