We are seeking a proactive and experienced Senior Office & Workplace Manager to lead the operational management of our London and Madrid headquarters and support workplace functions across our European offices. This pivotal role is responsible for creating a high-performing, well-maintained, and inclusive office environment that enables our teams to do their best work. You will oversee all aspects of workplace operations—from facilities, space planning, and compliance, to employee experience, office communications, and real estate support. Acting as a key liaison with internal teams and external vendors, you’ll ensure our offices run efficiently and reflect our values and culture. This role also includes broader regional responsibilities, such as managing office and social budgets, supporting real estate projects across Europe where needed, and ensuring cost-effective operational processes are in place. Key Responsibilities Oversee day-to-day workplace operations for our London headquarters and provide operational support to our Madrid office, ensuring smooth and efficient functioning of both locations. Line manage, coach and mentor the Workplace team in London and Madrid (team of 4). Manage procurement and inventory of office supplies, coordinate building service requests, and oversee processing of corporate invoices and vendor payments. Negotiate and track supplier agreements, ensuring compliance with service agreements and high standards are maintained across all third party providers. Supervise the upkeep, layout, and maintenance of office areas and equipment, ensuring high standards of cleanliness, safety, and functionality across all spaces. Establish, maintain, and regularly update office procedures and policies covering supply ordering, post/package handling, visitor protocols, and general facilities management. Lead the implementation of health & safety and workplace compliance standards for the London and Madrid offices, ensuring legal and regulatory requirements are met and documented. Act as the primary point of contact for landlord and building management relationships in London, attending tenant meetings, escalating issues where required, and ensuring clear two-way communication. Coordinate all internal office moves in partnership with the Workplace and IT teams; provide remote support for internal relocations across other regional office locations as needed. Implement and manage cost-effective and streamlined processes for ordering and delivering company stationery and business cards across EMEA, ensuring consistency with brand standards and efficiency in spend and delivery. Ensure the ongoing maintenance and presentation of all shared spaces within the London office, including meeting rooms, kitchens, and communal areas, creating an engaging and productive environment for all employees. Own and manage the office budgets, including London social budget, ensuring spend is aligned with company policy and provides maximum value to employee experience and office culture. Collaborate with internal committees to lead the planning and delivery of large-scale social events, seasonal celebrations, and culture initiatives, acting as a key point of coordination. Take ownership of internal office communications, ensuring regular, inclusive, and thoughtful updates that help drive a respectful, engaged, and connected workplace culture. Collaborate with internal committees and the Impact team to drive workplace experience initiatives, promote culture-enhancing activities, and identify opportunities for employee perks and operational efficiencies. Support local office leaders and teams in addressing space needs and coordinating logistics around office-based client events and key internal moments. Main point of contact for international office, coordinating the needs of visiting international senior leadership. Report directly to the Senior Vice President, People & Real Estate, maintaining consistent communication on office operations and initiatives across regions. Where needed, support the SVP, Real Estate in overseeing office refurbishment, rebranding and fit-out projects, maintaining project trackers, updating stakeholders, and ensuring timelines and budgets are met. Assist where needed with the administration and coordination of real estate contracts and lease agreements, including document management, renewal schedules, and vendor communication. Assist where needed with tracking and reporting on office utilisation data and workplace attendance trends in support of real estate strategy and decision-making. Skills & Experience Required Minimum of 5–7 years’ experience in office management, facilities coordination, or workplace operations, preferably within a multi-office or international environment. Proven and effective line management experience, with the ability to lead, coach, and support team members across different functions and locations. Demonstrated ability to manage and optimise office and social budgets, delivering value while aligning with company policies. Solid experience of independently negotiating vendor contracts and understanding key contractual terms, including SLAs, break and termination clauses, renewal timelines, and service scopes. Previous involvement in real estate or property-related projects, such as office refurbishments, relocations, or fit-outs, space planning, or lease administration. Experience managing international shipping and logistics, including shipments in and out of the EU, with an understanding of customs requirements and import/export processes. Demonstrated success in delivering workplace initiatives that enhance employee experience, culture, and engagement. Familiarity with workplace health & safety regulations and compliance standards in the UK and ideally across EMEA. Comfortable coordinating and attending building management and tenant meetings, with a professional and solutions-focused approach. Experience planning and supporting internal office events, social activities, and/or wellbeing initiatives. Strong organisational and multitasking skills with the ability to manage competing priorities across multiple offices and stakeholders, while maintaining attention to detail and accuracy. Excellent interpersonal and communication skills – both written and verbal – with the ability to confidently engage with senior stakeholders, external vendors, and cross-functional teams. Financially literate with experience managing office and event budgets, tracking spend, and ensuring cost-effectiveness. Proactive, hands-on, and solutions-oriented, with a high level of ownership and attention to detail. Collaborative team player who thrives in a fast-paced, creative, and people-focused environment. Confident using tools such as Microsoft Office along with workplace platforms. Demonstrates discretion, diplomacy, and professionalism when handling sensitive matters.
