Job Purpose
* To contribute to the delivery of a world-class experience for all professional and elite amateur golfers, VIPs, guests and associated stakeholders throughout the year and at relevant R&A championships, in line with the departmental and organisational aims.
Key Accountabilities
* Implement and improve key processes for the operational delivery of both the player and guest experiences at our championships, ensuring continuous improvement and a world class standard is achieved.
* Work alongside internal and external stakeholders to support the planning and delivery of key operations including transportation and travel, accommodation, registration and communications, accreditation, player preparation and recovery, practice day logistics, VIP dinners and prizegiving ceremonies.
* Responsibility of certain pre-agreed projects including all associated planning, management and effective delivery.
* Act as the first point of contact for internal and external stakeholders on-site, building relationships with key individuals, directing or escalating queries as required and providing support to the wider team, ensuring an excellent level of service is demonstrated at all times.
* Implementation and management of various technology systems to support processes including accreditation, ticketing and communications.
* Provide support, training and guidance to colleagues when required.Ensuring other team members and seasonal temporary staff adhere to processes, operating procedures and delivering tasks to the standards expected.
* During all phases of the Championship season, respond to and resolve queries from internal and external stakeholders when information is known, or seek guidance from colleagues for additional information when required, within the required response time.
* Build The R&A’s relationship with key stakeholders, acting as a true R&A ambassador, ensuring the organisation’s reputation and brand are communicated, protected and enhanced.
* Contribute to the ongoing benchmarking and development of the Player & Guest Services strategy, suggesting ideas for improvement in our work through the review process and taking responsibility for implementing agreed ideas.
* Budget management and responsibility for allocated suppliers including receiving and challenging quotes, scheduling invoicing payments, processing and coding of invoices in line with R&A Finance procedures to ensure budgets are set and reconciled on time.
* Provide accurate information to generate reports as and when required for the purposes of analysing data or reviewing effectiveness of delivery.
* Support with tasks on current and future projects or initiatives in line with departmental objectives.
Expertise
* Proficient knowledge of Microsoft Office, including Word, Excel, Outlook and PowerPoint.
* Scottish National 5 qualifications, or equivalent, in English and Maths.
* Ability to respect high levels of confidentiality.
* Ability to maintain a high level of quality even under pressure.
* Ability to adapt communication style to suit the audience.
* Experience and knowledge of office management systems and procedures.
* Strong project management skills and experience.
