James Cook Cancer Institute and Speciality Medicine (JCCISM) is the specialist centre for cancer and special medicine diagnostics and treatment across Teesside, North Yorkshire and beyond. The Haematology Directorate is one of four within JCCISM, within the directorate with deliver a specialist Haemaglobinathy service, that supports adult and children patients with haemaglobinathy conditions.
The post will provide comprehensive, effective and efficient administrative support to a small team of Clinical Nurse Specialists (CNS) in haemaglobinathy as well as the Clinical Lead based at JCUH. This is a busy team so you will need to be motivated and enthusiastic with proven skills in managing your own workload and prioritisation of tasks. Attention to detail and good organisational skills will be of great benefit.
Main duties of the job
Reporting to the Haematology Team Leader with input from the CNS teamthe post holder will provide and develop a comprehensive, effective and efficient administrative support service to members of the team
Supporting the CNS Haemaglobinathy Team in managing appointments and clinic including booking appointments and recording appointment data, coding and procedures
Having responsibility for the reconciling of clinic attendances including appointment data, coding and procedures and coordinating the MDT clinics and red cell exchanges with NHSBT.
Supporting the CNS Team in actively managing appointments and co-ordinating the daily flow from the point of referral through to appointment allocation. And supporting with telephone enquiries.
Utilising excellent communication skills to exchange confidential and sensitive information appropriately and exercise good judgement in a variety of situations.
Interacting compassionately with services users and carers at all time
Supporting the development, implementation and organisation of complex and new administration systems and services.
Supporting the collation and timely dissemination of statistical data necessary to service requirements.

Essential criteria
1. GCSE in Maths and English (A-C/4-9) or Functional Skills (level 2)
2. NVQ 3 Business Administration or equivalent demonstrable experience

Essential criteria
4. Knowledge and skills in a variety of software programmes, Microsoft Office word, excel and PowerPoint
5. Effective communication both verbal and written
6. Excellent planning and organisational skills including demonstrating initiative and ability to prioritise own workload
7. Ability to pay attention to detail, reliably check and record data, identify anomalies and be able to self-check completed work
8. Excellent interpersonal skills, often dealing with sensitive and confidential information
9. Knowledge and skills in IT systems utilised by the Trust

10. Sound knowledge of the work and scope of the Haematology service to act as point of information for the public and other professionals
Experience

11. Relevant administrative and/or secretarial experience
