We are seeking a friendly, organised, and proactive Receptionist/Team Administrator to join our dedicated team supporting the Children, Families and All Age Neurodiversity (CFAAN) services. Based at the Child Development Centre at St Mark's Hospital, you will play a vital role in ensuring a welcoming environment and smooth administrative operations for children, families, and professionals.

Our core working hours are Monday to Friday 9:00 - 17:00 but we can offer flexibility around this.


Main duties of the job

* Front-of-House Service: Be the first point of contact for patients, families, staff, and partner organisations, providing a warm and professional welcome.
* Reception& Communication: Manage reception areas, greet and assist patients, handle telephone and email enquiries, and support visitors in navigating the building.
* Administrative Support: Schedule and manage patient appointments, maintain electronic records (RIO), upload documents, process mail, and assist clinical teams with admin tasks.
* Information& Records Management: Ensure accurate data entry, maintain filing systems, update patient demographics, and adhere to Trust policies.
* Supplies& Facilities: Monitor and maintain stock levels of stationery, clinical resources, and service-user supplies; ensure reception and clinical areas are clean, safe, and well-equipped.
* Team Support: Provide admin support to colleagues, contribute to audits and service improvements, and act as a reliable information resource.
* Customer Care & Problem Solving: Communicate effectively in challenging situations, manage complaints professionally, and uphold Trust values in all interactions.
* Training& Development: Complete mandatory training and engage in ongoing professional development.

Job responsibilities

The must have's for this role:

* Excellent communication and interpersonal skills
* Strong organisational abilities and attention to detail
* Confidence using IT systems, including electronic patient records
* A team player with a proactive and flexible approach
* Experience in a reception or administrative role (preferably in a healthcare setting)

Person Specification


Education/Qualifications/Training

* Evidence of good standard of education, having GCSE/O'level or equivalent in English Language and Maths


Previous Experience

* Previous knowledge and experience of working in an office and/or customer care environment
* Experience in secretarial / administrative work, undertaking a full range of administrative duties, including minute-taking.
* Experience in reception work
* Experience of NHS working
* Experience of supervision of junior staff


Knowledge, Skills & Abilities

* Intermediate keyboard skills and the ability to communicate through IT, using packages such as Word, Outlook and Excel
* Knowledge and experience of using a variety of software programmes/packages.
* Advanced Telephone communication skills
* Good Command of the English Language
* Intermediate Database entry skills
* Ability to maintain confidentiality
* Ability to work effectively in a team and to work unsupervised and on own initiative, managing own workload.
* Ability to work flexibly as part of a team.
* Good time management and prioritisation skills.
* Ability to empathise, be supportive and sensitive to the needs of others.
* Ability to use a practical problem solving approach in everyday situations.
* Good interpersonal skills allowing the post holder to work constructively with colleagues, in a team and also independently.
* Demonstrates understanding of what this role encompasses, i.e. children's therapies; speech and language therapy, occupational therapy, physiotherapy
* Able to act as an advocate for CYPIT service


Additional Requirements

* Able to travel to multiple sites across East Berkshire area
* Flexible approach to work
