Job Objective:
To manage the estimating department to ensure the company consistently wins sufficient orders at a profit margin which will enable the company to achieve its objectives
Brief Overview
All our projects involve the refurbishment and re-roofing of existing, occupied buildings rather than installing roofs on new buildings. We work as a main contractor and not s sub-contractor and so we have to supply all our own scaffold and other necessary facilities.
Our projects are for working on flat roofs, traditional pitched roof materials, including slates and tiles and industrial sheeting and cladding. This is reflected in the materials and systems we use which include high performance, built-up roofing felt, cold liquid applied membranes, slating and tiling and sheeting and cladding systems.
We often carry out external refurbishment works, usually as part of a roofing project. This might include re-pointing of chimney stacks, external decoration, the replacement of windows and rainwater gutters.
Objectives
* The object of this role is to manage and oversee the estimating department and its staff and resources to ensure that orders are secured to enable the company to achieve planned sales turnover, cash flow and gross profit targets, as set out in the annual target and budget, are achieved month by month.
* To exercise sound commercial sense and management to ensure that all enquiries secured are delivered so as to maximise our opportunity of securing orders and delivering them profitably.
* To ensure that all enquiries, tenders and reports delivered take into account and adhere to
all legal and legislative guidelines.
* To mentor and develop junior staff.
* To satisfy and exceed customers' expectations so as to maximise the probability of repeat orders and recommendations.
What You'll Be Doing
Visiting and surveying all prospective sites, taking photographs, preparing a plan of the roof and taking accurate measurements
Take account of all technical and logistical issues and requirements
Speaking to clients where appropriate and accurately recording their specific requirements
Taking core samples or removing slates and tiles to establish the roof build up and structure of the roof and taking photographic records
Seeking out opportunities and looking for opportunities to improve your conversion rate and the profitability of the company
Taking off quantities from your records and preparing costs
Discussing the projects you are working on with your manager and other colleagues to maximise collective experience and knowledge and agree the best way to proceed with the proposal and by so doing improve your conversion rates and the opportunity to increase profits
Preparing proposals by writing reports and specifications based on your findings and supported with photographic evidence
Finalising and submitting completed tenders and proposals on time
From time to time, preparing reports and budget prices and giving advice to Clients on how to overcome problems they may have on their building/s
Taking every opportunity to develop closer and better relationships with clients and potential clients
Pricing additional works and variations on live contracts
Carrying out your work to a high standard, taking care in preparing tenders to ensure that profit margins and prices are achieved in line with the company's objectives
Managing your workload to ensure that deadlines and tender/quotation return deadlines are achieved and ensuring that priority is given to the best enquiries
Keeping clear and accurate records at all stages of the pricing process, saving files as and where appropriate and in accordance with the company's procedures
Updating the company's database with details of any interaction you have with clients or potential clients so that there is an accurate and up to date record for use by other staff
Ensuring that all quotations and tenders are followed up in a timely and appropriate manner and records of the outcome of all such activity is kept and this intelligence is discussed and passed on to the Partner responsible for sales and marketing to aid in top level decision making
When you receive an order, arrange a project launch meeting and prepare the file and documents and brief the contracts department on how the project has been priced and the opportunities you have seen. Make yourself available throughout the project to answer queries from the contracts team
Developing and implementing the departmental strategy in line with company objectives
To successfully oversee the professional delivery all proposals from receipt of enquiry to delivery
Overseeing the management and professional development of departmental staff, arranging training, mentoring them and arranging regular reviews and appraisals
Forecasting, monitoring and ensuring commercial targets are being achieved
Implementing and developing new strategies to ensure ongoing improvements year on year
Overseeing departmental recruitment
Investigate and stay up to date with advances in technology and make recommendations for implementing systems which might give us a commercial advantage
Ensuring all proposals are prepared and delivered on time and to a high standard
Taking every opportunity to maximise profitability
To have a good understanding of standard Building Contracts and use this to spot opportunities and risks in tender documents
To gradually over time work and improve the overall presentation and standards of operating performance of all Staff & Sub-Contractors
To ensure synergy between the estimating and other departments and ensure that company procedures are being implemented
Contribute to the company's senior management team and provide monthly written reports and forecasts on the performance of the department
Help to improve and develop the company by contributing strategic ideas and improvements to the overall operation of the company
What We're Looking For
To be well presented and articulate
Have a very good understanding of the MS Office Suite, especially Excel, Word and Outlook
Organised, have good time management skills, very good numeracy skills and have very good written English
Previous experience working as a roofing estimator in the same or very similar role
Full and clean driving licence
Need to live within a reasonable distance from the offices based in Tolworth/Surbiton (hours drive)
Extensive experience working as a roofing estimator
Experience of working at a senior level
Previous experience of managing people
Previous experience of managing a department
Excellent commercial knowledge and understanding
