We are seeking a highly skilled Executive Assistant (EA) to join our support function. In this role, you will act as a vital operational partner, managing the administrative and logistical complexities that allow our Executives to remain focused on high-level strategy. You will join a collaborative team of Assistants, providing a proactive and diligent presence that ensures the seamless functioning of the Executive Office. As an integral part of the team, you will navigate shifting priorities with precision—from managing complex calendar coordination, workspace arrangements, and expense processing. We are looking for a resourceful professional who proactively looks ahead to resolve challenges before they arise, maintaining high standards of accuracy while fostering a collaborative environment. Main responsibilities: Providing administrative and executive secretarial support to Directors within the Executive Team. Working together with the other members of the team to facilitate the smooth function of the office; Ensuring cover during planned absences. Assisting with the induction of new function Heads. Diary management: Scheduling and co-ordinating meetings, preparing agendas, distributing materials and attending meetings for minute taking. Resolving diary conflicts Assisting with the preparation of reports and presentations, maintaining standards of accuracy and quality. Processing of Executive’s monthly corporate card expenditure on the on-line payment system in keeping with the 28 day deadline. Code invoices for payment and ensure signature and timely return to the Finance Department, along with follow up of payment. Proactively looking ahead and arranging all necessary travel arrangements and external client meetings / catering / travel. You'll need: Skills / Qualifications / Experience Maths & English GCSE at grade C/4 or above. Proven ability to provide comprehensive administrative and executive secretarial support, acting as a highly skilled partner to senior leadership. Strong IT literacy and a comprehensive working knowledge of Google Workspace or Microsoft packages. Competency in managing and processing financial administration, including corporate card expenditure and coding invoices for timely payment. Excellent communication and interpersonal skills, essential for building and maintaining effective relationships with both internal and external stakeholders. Highly self-motivated, committed, organised, and diligent, with a proactive approach to work and a consistent delivery of quality results.
