We are looking for a cheerful, confident and organised person to join our office team as the face of a busy, friendly school at the heart of our local community.

Hours are 22 hours per week Monday to Thursday 12 – 4:30pm, Friday 12pm – 4pm

Under the guidance of the Business Manager, as part of a small team, the Office Assistant will be the face of the school, communicating with parents, pupils, and other members of staff, ensuring the smooth running of the school.

Main Responsibilities

1. Act as front of house and communicate with pupils, staff, parents, and visitors appropriately.
2. Ensure security and safeguarding protocols are communicated and understood by all visitors at the school.
3. Ensure the office area is tidy and welcoming.
4. Provide general admin support to ensure the school delivers effective and efficient services.
5. Provide administrative support to the SENCo, including minute taking in meetings, assistance with completion of paperwork, and filing.
6. Maintain an up-to-date and accurate inventory of stock, and place orders when required.
7. Assist in the collection and recording of various data, e.g. attendance data.
8. Assist with the admissions process.
9. Process and distribute incoming post and manage outgoing post.
10. Answer and direct all incoming phone calls.
11. Monitor the office email and handle queries.
12. Act as a first point of contact for parents, e.g. when reporting absences or making complaints.
13. Contact parents when appropriate, e.g. when their child needs to be collected due to illness.
14. Be aware of the school’s calendar of events so queries from parents and other members of the community can be answered.
15. Maintain confidentiality when communicating with parents and visitors to the school.
16. Ensure good lines of communication between the office and the rest of the school.
17. Understand and follow all relevant school policies.
18. Attend and participate in training and development courses as required.
19. Be a role model for the standards of behaviour expected of pupils.
