We are looking to recruit a permanent Administration Assistant to work in our Administration Hub based at Hampton Road Clinic, Southport on a part-time basis. Hours of work will be 9am-5pm on Mon and Wed and 9am to 12:45pm on Tues.


To provide an efficient and effective clerical service to the multi-disciplinary team consisting of school nurses and health visitors.



Responsibilities:

1. Act as first point of contact for all telephone enquiries, ensuring that messages are forwarded to the appropriate persons and visitors are welcomed to the department.
2. Provide an effective clerical service to support the team, including photocopying, typing, data input, and maintenance of an effective filing and retrieval system.
3. Effective liaison with multi-disciplinary staff/patients/carers/outside agencies ensuring accurate information is communicated as and when required.
4. Responsibility, in conjunction with other administrative staff, for arranging clinics, booking appointments and associated data entry including the retrieval and maintenance of patient records.
5. Ensure appropriate records are maintained as directed by Line Manager.
6. Contribute to the ordering of stationery supplies and associated procedures.
7. Contribute to the processing of all incoming and outgoing mail.
8. Participate in the provision of cover and support to colleagues as required.
9. Participate in the local induction process for new staff.
10. Participate in serious untoward incident investigations/reviews as required.
11. Support individuals' equality, diversity and rights.
12. Participate in patient and public involvement activities.
13. Contribute towards service improvement initiatives to enhance quality of patient care.
14. Provide information and support to service users/carers as appropriate.
15. Contribute to the continued improvement and quality of the Administrative Support Service.
16. Recognise and respond appropriately to urgent and emergency situations.
17. Contribute to the effective and efficient use of resources.
18. Understand and adhere to Trust policies, procedures and guidelines.
19. Report any concern regarding patient care to line manager.
20. Undertake any other delegated duties as appropriate and commensurate with the post.
