Overview

Job summary

This is a full-time post, 9:00 to 17:00, Monday to Friday providing administrative support to the CAMHS Getting Advice, the evolving 'Front door' team, receiving and processing referrals into the service and supporting the clinical team in their work with young people. A Band 3 Administrator is sought to join the team. The post holder will work to a high standard, provide cover for colleagues when necessary, and work collaboratively within a team to share workloads as appropriate. The role includes routine and non-routine tasks and requires good communication skills and competence with MS Office.

Location: Barton Hill Settlement, 43 Ducie Road, Bristol, BS5 0AX. Salary: £24,937 to £26,598 per year. Band 3, Permanent, Full-time. Reference: 342-CAMHS129-1025.


Responsibilities

* Work under the supervision of the lead administrator as part of an admin team (1 x Band 4 lead administrator and 3 x Band 3 administrators).
* Manage clinician diaries, book appointments and answer phones.
* Process referrals into the CAMHS service and act as a point of contact for enquiries from service users and their families, health professionals, education, social care and police.
* Input accurate and up-to-date patient data onto the IAPTUS system and maintain electronic filing systems and records access.
* Provide secretarial support to named medical staff/management team and arrange and negotiate meetings including those involving other agencies.
* Communicate effectively with a wide range of stakeholders (service users, carers, GPs, clinical staff and other external partners) and handle routine and complex information, including sensitive data.
* Open and process mail (paper and electronic) and prioritise high-priority items.
* Produce confidential correspondence and reports; perform clerical duties such as photocopying and scanning; provide cover for colleagues as needed.
* Plan and prioritise own workload to meet daily, weekly, monthly, quarterly and annual tasks; manage shifting priorities.
* Process referrals and outcomes in a timely and accurate manner and manage emails for other tasks (including EHCP emails).
* Cover Reception during colleagues’ absences when required.


Qualifications and Experience

* Essential – Qualifications in English Language and Maths; knowledge of routine and non-routine administrative procedures; experience working in a team; experience using Microsoft Office (Word, Excel, Outlook).
* Desirable – ECDL/Diploma in Admin/NVQ qualifications (or equivalent); administration experience in a health/social care setting; good understanding of confidentiality and data protection; ability to work under pressure; careful attention to detail.
