Due to retirement we are seeking a receptionist/administrator to join our friendly and supportive team working 24 hours a week over 4 days. We are a small, traditional family GP practice providing a friendly and compassionate service for our patients. The ideal candidate will be the first point of contact for our patients and visitors, delivering exeptional service and supporting the smooth running of the practice, while managing a variety of administrative tasks. You will be responsible, with our team, for signposting all patient queries upholding a caring and friendly environment for our patients. This is a varied role requiring strong organisational skills and the ability to multitask effectively in a busy environment
Main duties of the job
* 24 hours a week over 4 days. Must be committed to being available for core hours of 8:00 - 18:30 when necessary and have a flexible approach to cover sickness and holidays etc.
* Greet patients and visitors warmly, ensuring a positive first impression
* Answer and direct phone calls with an excellent phone manner and communication skills
* Manage incoming correspondence, including emails and post
* Process prescription requests from pharmacies, email and AccuRx
* Scan letters and process electronic correspondence through Docman
* Assist with scheduling appointments and managing calendars
* Provide adminstrative support to other team members

Job responsibilities
Offer general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone
Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way
Undertake a variety of administrative duties to assist in the smooth running of the practice, including the provision of secretarial and clerical support to clinical staff and other members of the practice team
Facilitate effective communication between patients, members of the primary health care team, secondary care and other associated healthcare agencies
Duties and responsibilities:
The duties and responsibilities to be undertaken by members of the practice administration team may include any or all of the items in the following list. Duties may be varied from time to time under the direction of the senior receptionist/practice manager, dependent on current and evolving practice workload and staffing levels:
Opening up/locking up of practice premises and maintaining security in accordance with practice protocols
Maintaining and monitoring the practice appointments system
Processing personal and telephone requests for appointments, visits and telephone consultations, and ensuring callers are directed to the appropriate healthcare professional
Use appointment system (EMIS, AccuRx,) confidently to book appointments
Processing and distributing incoming (and outgoing) mail
Taking messages and passing on information
Filing and retrieving paperwork
Processing repeat prescriptions in accordance with practice guidelines
Computer data entry/data allocation and collation; processing and recording information in accordance with practice procedures
Initiating contact with and responding to requests from patients, other team member and associated healthcare agencies and providers
Scanning clinical letters using DOCMAN and filing clinical letters using DOCMAN in a timely manner
Clearing and re-stocking of consulting rooms as required
Providing clerical and secretarial assistance to practice staff as required from time to time, including word/data processing, filing, photocopying and scanning, processing referrals and liaising with other primary care and secondary care services
Administration in accordance with practice needs ie. Summarising, coding etc
Ordering, re-ordering and monitoring of stationery and other supplies
Dealing with clinical waste
Provision of refreshments for staff and visitors as required; washing utensils and keeping kitchen area tidy
Keeping the reception area, notice-boards and leaflet dispensers tidy and free from obstructions and clutter

Experience
* Experience working in a GP practice
* Working knowledge of EMIS, DOCMAN, AccuRx
Qualifications
* GCSE in English and Maths
* Typing and Microsoft Office skills
