This is an exciting time for Robert Bird Group, as we go through continual expansion, and so presents an opportunity for someone looking to further their career within a thriving engineering consultancy.The Administrator will be assisting various Engineering teams with compliance and everyday tasks to aid the smooth operation of our business.AdministrationTyping, compiling and preparing project reports, team presentations and correspondence for internal and external purposesAssist with preparation of submissions, fee proposals and expression of interestsMaintain the UK client database to ensure it is current and accurateAssisting with control of variation on projectsReception cover and backup support for Reception. To be competent in all reception duties in order to relieve when required i.e. lunch breaks, leave and at any other times as and when necessaryCoordination of national and international travel logistics in line with internal policies and procedures, distributing itineraries to staff and relevant branches as and when requiredReconciliation of staff expensesAdministration and secretarial support to Directors including but not limited to: diary management ensuring calendars are regularly updated and maintained, updating client contact lists, updating resource charts, staff annual leave calendars, etc.Organising meetings (internal / external), distributing agendas and taking minutes as and when requiredImplement Health and Safety policies and procedures on projects and oversee team’s complianceParticipate in Workplace Health and Safety committee if, and when, requiredUndertaking all administrative duties such as, but not limited to: photocopying, binding documents, project filing and archiving, business card scanning, document downloading etc.Managing and coordinating gifts for team i.e. leaving giftsRunning reports on internal system (Clarity), time / cost transfers, open / close projects, set up project work stages etcExperience and KnowledgePrevious experience in an Administrator RoleIntermediate Computer SkillsHigh Level of Communication (Verbal and Written)Organisation and Management SkillsWhy Work With UsRobert Bird Group is a growing, fast-paced business which offers birthday leave, corporate health insurance rates, paid parental leave, recognition awards, an active and engaging social club, along with a supportive team environment where healthy lifestyle balance is encouraged.How to applyAll applications must be submitted online.
