Executive Assistant to the Director & HR
We are looking for a reliable, highly organized, and proactive Executive Assistant to support both Human Resources functions and the Director’s daily operations.
This role combines HR responsibilities, office administration, and personal assistance. The ideal candidate is detail‑oriented, adaptable, and able to manage both professional and personal tasks with discretion and efficiency.
Key Responsibilities
Human Resources
* Manage full‑cycle recruitment, including job postings, screening, interviews, onboarding, and offboarding
* Handle monthly payroll, attendance tracking, and related reporting
* Maintain HR records and documentation (labor insurance, pension, and filings)
* Ensure compliance with Taiwan labor laws and regulations
Executive & Personal Support
* Provide day‑to‑day support to the Director, including schedule management and prioritization
* Assist with personal matters such as travel arrangements, gift sourcing, insurance, and family‑related tasks
* Manage the Director’s personal expenses and petty cash with accurate tracking and reconciliation
* Handle errands and ad hoc requests with a high level of discretion
Office Administration
* Manage daily office operations and general administrative tasks
* Coordinate vendors, office supplies, and facility management
* Maintain office records and ensure smooth day‑to‑day operations
* Liaise with IT support when required
Coordination & Support
* Coordinate across internal teams and external partners when needed
* Provide flexible support during business travel and urgent situations
* Assist with administrative tasks and special projects
* Be responsive outside standard working hours when required (including weekends or across time zones)
Requirements
* Minimum 3 years of experience in HR, administration, or executive assistant roles
* Strong organizational and multitasking skills
* High level of discretion, reliability, and sense of responsibility
* Good communication skills and ability to coordinate across teams
* Fluent in spoken and written English
* Proficient in MS Office (Outlook, Word, Excel)
* Basic design skills (e.g., Canva) for simple materials
* Detail‑oriented, proactive, and able to work independently
* Strong time management and flexibility in handling urgent tasks
Driving (Preferred)
* Provide driving support for senior management when required
* Assist with transportation for business or personal errands
