Position Overview:
We are seeking a dynamic and highly organized Executive Assistant to support our CEO and Presidentin a fast-paced and ever-evolving environment. This role is ideal for a proactive individual with exceptional multitasking skills and a strong attention to detail, who thrives in a high-pressure environment and is eager to contribute to the success of our leadership team.
Key Responsibilities:
* Administrative Support: Provide comprehensive support to the CEO and President, including managing calendars, scheduling meetings, and handling correspondence.
* Invoicing & Reporting: Oversee invoice processing, expense tracking, and financial documentation to ensure timely and accurate submissions.
* Meeting Management: Prepare agendas, take detailed meeting minutes, and follow up on action items.
* Errands & Logistics: Perform ad hoc errands as needed, requiring a valid full driver’s license and access to a vehicle.
* Coordination: Organize travel arrangements, accommodation, and itineraries for executives.
* Communication: Act as a liaison between executives and internal/external stakeholders, ensuring clear and professional communication.
* Documentation: Maintain organized records and assist in preparing reports, presentations, and other business documents.
* Special Projects: Support various projects and initiatives as assigned by the CEO and President.
Qualifications:
* Bachelor’s degree in Business Administration or a related field preferred.
* 2-3 years of experience as an Executive Assistant or similar role.
* Proven experience with invoicing, financial processes, and meeting minutes.
* Strong organizational and time-management skills, with an ability to prioritize effectively.
* Exceptional written and verbal communication skills.
* Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant tools.
* Full driver’s license and ability to travel locally as needed.
* Adaptability to thrive in a fast-paced, high-pressure environment.
