Job description

Customer Co-Ordinator required in Ballygawley to play a key role in ensuring smooth business operations, with a strong emphasis on customer communication.

You will be providing hands-on experience in key operational functions, including order processing, production scheduling, dispatch, invoicing, credit checking, and documentation.

The ideal candidate will be highly organized, customer-focused, and eager to develop a strong understanding of operational processes while contributing to a structured training framework for future trainees

Working Hours:

1. Full-Time- 40 hours per week
2. Monday to Thursday: 08:00 - 17:00 (Half-hour lunch break)
3. Friday: 08:00 - 12:00
4. Office based
5. £ rising to £ after training completed

Key Responsibilities:

6. Act as the first point of contact for incoming calls, ensuring a professional and helpful approach.
7. Respond promptly to customer inquiries and direct them to the appropriate department.
8. Respond promptly to all sales staff inquiries, ensuring they have the necessary information to support customers.
9. Maintain excellent customer relationships through clear and proactive communication.
10. Follow up on outstanding customer queries to ensure timely resolution.
11. Accurately process sales orders and enter them into the system.
12. Liaise with the sales and production teams to confirm stock availability and lead times.
13. Confirm receipt of orders with customers and provide estimated delivery dates.
14. Communicate any changes or delays to customers in a timely and professional manner.
15. Perform credit checks on new and existing customers to ensure payment reliability.
16. Set up and maintain accurate customer profiles in the sales order processing system.
17. Ensure all necessary documentation is obtained for new customer accounts.
18. Assist in scheduling production to ensure efficiency and meet customer deadlines.
19. Update internal teams on production status and adjust schedules as needed.
20. Coordinate dispatch schedules to ensure timely and accurate deliveries.
21. Work with logistics providers to track shipments and resolve any delivery issues.
22. Generate and issue invoices to customers.
23. Process credit requests and maintain accurate records.
24. Keep the query log up to date, ensuring all customer and internal queries are tracked and resolved efficiently.
25. Monitor and maintain adequate office supplies.
26. Order stationery and essential materials to support business operations.
27. Process Goods received documentation for Incoming goods.
28. Implement and monitor Health and Safety practices and procedures within the Office environment.
29. Develop and maintain work instructions in written and video format.
30. Ensure these documents form part of the overall 'Office Manual', keeping them clear, accurate, and up to date.
31. Assist in structuring the manual as a training guide for future trainees.
32. Implement and develop relevant parts of the Office related ISO 9001 Quality system and ISO 14001 Environmental management system.
33. Assist in any other general office or factory-related tasks as needed.
34. Support different departments when required to ensure smooth workflow.
35. Be adaptable and willing to help in various areas of the business based on operational needs.

Skills & Attributes Required:

36. Excellent communication skills and a customer-focused mindset.
37. Strong organizational skills with the ability to prioritize tasks effectively.
38. Attention to detail and accuracy in data entry, documentation, and record-keeping.
39. Ability to work both independently and as part of a team.
40. Proficiency in Microsoft Office (Excel, Word, Outlook) and willingness to learn internal systems.
41. A proactive and problem-solving approach.
42. Ability to create clear written instructions and basic video tutorials for training purposes.
