An exciting opportunity has become available for a position as Operational Administrator within the Microbiology Department at the Royal Devon University Hopsital (RDUH).

We are seeking an experienced Administrator to assist with providing a comprehensive secretarial, administrative and business support function to Managers, the scientific team and Consultants.

We are looking for someone with extensive administrative experience, preferably in a health care setting. They will have excellent communication, interpersonal and organisational skills and have a confident and mature approach to work. The post holder will support the Microbiology senior Management and Consultant team in the efficient and effective operation of the Microbiology Service, to provide a professional, accurate and timely service which meets the needs of the clinical services.

The post holder will be expected to independently manage, undertake and prioritise a variety of administrative and clerical duties including:

1. Manage diaries for medical team, including annual leave arrangements and distribution of medical rota to laboratory teams and switchboard
2. Deal with and appropriately direct incoming enquiries and day to day correspondence including phone calls and emails
3. Manage patient bookings in Consultant clinics (on Epic EPR)
4. Proofing and send out letters and appointments to patients for weekly clinics
5. Monitoring compliance with and booking of all staff mandatory training
6. Liaising with the Peninsula Medical School in relation to medical student placements
7. Quality assurance through updating Standard Operating Procedures
8. Organise, participate and minute meetings, preparation and distribution of agendas and ensure all supporting paperwork for meetings is adequately prepared and available
9. Download results from external reference laboratories and upload onto the hospital EPR (Epic)
10. Pay administration – Book Bank staff (TempRE, NHSP and Health Roster), add and check overtime, additional hours and on call shift details in Health Roster
11. Roster administration - Support in the management of Health Roster, ESR and MediRota (Laboratory and Consultant) staff management systems for approximately staff across eastern and Northern Microbiology
12. Provide other administrative assistance to Laboratory Managers and Clinical team as required

The successful applicant will be conscientious and self-motivated and is required to work flexibly and in an efficient and timely manner. They must have the ability to be able to use their own initiative and work independently, prioritising work to ensure that all duties are carried out to a high standard and deadlines are met. It is essential that applicants are able to demonstrate strong IT skills, which must include extensive knowledge of Microsoft Office including: Outlook, Word, Excel and PowerPoint. Experience of using Epic EPR, Health roster, ESR and Medirota would be an advantage.

Working Pattern: This is a substantive post, working hours per week Monday to Friday (Working pattern to be agreed). The postholder will be based at either the Northern or Eastern site but may occasionally be required to travel to the other site.

Pay: The salary advertised for this position reflects the Agenda for Change 6-7 rates, inclusive of a pay award implemented from April 6. If you join before this date,, remuneration will be based on the 5-6 pay bandings (Pay scales for 5/ | NHS Employers)
