Purpose of the role:
The Recruitment Administrator supports Recruitment Coordinators with administrative tasks throughout the recruitment process, including posting jobs, screening candidates via our ATS (Blue Octopus), arranging interviews, and submitting reference packs. The role involves supporting candidate attraction and conversion for hourly paid roles at our London Heathrow and London City sites, reporting to the Shared Services and Recruitment Manager. The role may require travel to other sites or events.
Based within our HR Recruitment Team, your role is crucial for the smooth operation of our ongoing recruitment activities.
Stakeholders:
Internal: Operations and Functional Managers, Recruitment Coordinators, HR Team, Compliance/Referencing Team
External: Service providers, Recruitment agencies, Candidates, Job Centres, Job Boards, other stakeholders
Key responsibilities:
1. Advertising and maintaining vacancies on various job boards via our ATS.
2. Collating management information (MI) weekly and monthly, reporting findings.
3. Supporting first-line screening of CVs and providing feedback to Recruitment Coordinators.
4. Arranging interviews, preparing schedules, and inviting candidates.
5. Conducting initial phone screenings if needed.
6. Preparing and sending recruitment packs to the Compliance and Referencing Team.
7. Supporting with interview feedback.
8. Gathering and following up on employment documents (Right to Work, HMRC Forms, criminal checks).
9. Providing additional administrative support as required.
Additional duties may be assigned depending on location or role complexity.

* Experience working with external agencies (desirable).
* Resilience and ability to work in a dynamic environment.
* Experience with ATS systems.
* Experience in the aviation sector (desirable).
