Role Overview
The Manager – Retail Back Office & Consumer Payments is tasked to monitor and maintain compliance of internal control policies and procedures primarily across the organization as per Group requirements. Actions taken to improve the level of internal control through procedures and implementation and training, identification of risks and communication with Maisons and Support functions. This role will also lead or join projects and initiatives to transform the business both locally and globally.
Responsibilities (or Mission)
• Manage, mentor, and develop a team of four direct reports, setting clear expectations, delegating effectively, and fostering a collaborative environment to meet departmental goals and adapt to evolving priorities.
• Prioritize and communicate the department responsibilities to complete all deadlines and ensure accuracy of the data reviews.
• Investigate and resolve variances related to credit cards, wire transfers, and certificate server discrepancies to ensure accurate reconciliation with general ledger accounts. Possess a strong understanding of credit card processing and security protocols.
• Manage daily interactions with boutiques, providing clear guidance and enforcing adherence to all relevant policies and procedures.
• Partner with the Maisons on the opening of boutiques to ensure staff has proper training on the End of Day requirements.
• Manage the reviews of Consumer Payment activities for compliance and escalation as needed for non-compliance
• Perform day-to-day controls on end-of-day procedures
• Manage and perform monthly internal control reports (deposits, transfer of credits, 8300's)
• Manage the creation of merchant accounts for new boutique openings.
• Engage in regular meetings with payment providers (e.g., Affirm, Amex) to stay informed about industry trends, optimize payment processing, and resolve any issues.
• Coordinate with Legal to provide research and support for subpoenas related to retail operations and consumer payments.
• Manage the End of Day submission process as it relates to implementation, ongoing enhancements, documentation and training and support
• Manage the Consumer Payments team's efforts in AML (Anti-Money Laundering) and sanctions intervention, ensuring compliance with relevant regulations.
• Partner with Security and HR teams on retail investigations, providing expertise in consumer payment processes and potential fraud.
• Assist with the annual audit conducted by KPMG, providing necessary documentation and explanations related to retail back office and consumer payment activities.
• Provide training and education to Maisons retail teams, serving as a primary point of contact for boutique support, troubleshooting, and compliance-related issues.
• Engage with Group RFBO team to roll out pilot programs and initiatives for the benefit of the global RFBO community.
Qualifications
Technical Skills/Abilities
• Proficient in Microsoft Office (Outlook, Word, PowerPoint), highly proficient in Excel (Pivot tables, v-lookups, etc.)
• Ability to travel to locations within North America
• Proven management and team management skills, with experience in performance management and employee development
• Strong understanding of credit card processing, payment gateway technologies and related security protocols. (e.g. Adyen, PCI)
• Overall technological acumen
Education
• Bachelor's Degree Preferred
• Finance/Accounting/Retail Experience a plus
