An exciting opportunity has become available for a full-time Administrator/Receptionist in the Endoscopy Unit at Singleton Hospital.
The post holder will provide a comprehensive clerical and reception administrative service, demonstrating a courteous, professional, and sensitive approach at all times, prioritising their time, and demonstrating a high degree of flexibility.
Responsibilities include maintaining records both manually and on computerised systems, handling sensitive and confidential information such as patient/staffing data, delivering a client-focused service promoting good customer service and effective working relationships, providing clerical and word processing support for correspondence, reports, and documentation as directed by the Manager, and supporting colleagues during absences due to leave or sickness.
Main duties of the job
Ensure effective communication and good working relationships with staff at all levels.
Provide reception duties, including greeting visitors courteously and directing them appropriately.
Build and maintain strong relationships with internal and external stakeholders.
Communicate effectively with external organisations such as Health Boards, Local Authorities, educational providers, Welsh Government, staff, and patients to obtain or process information and develop working relationships.
Provide excellent customer service by handling queries from service users and staff via telephone, taking accurate messages, and passing them to the appropriate person.
Exercise tact, diplomacy, and discretion when dealing with sensitive or contentious issues, providing feedback and ensuring messages are relayed and actions are taken.
Screen incoming calls, manage communication barriers, and remain courteous and calm, even in challenging situations.

Qualifications & Knowledge
* 5 GCSEs or equivalent, Grade C or above.
* Experience working in an administrative/office environment.
* ECDL or equivalent experience and/or qualifications.
Aptitude and abilities
* Excellent verbal and written communication skills.
* Ability to meet deadlines.
* Proficiency in Microsoft Office (Word, Excel) and virtual platforms (e.g., Teams).
