Overview
The role is full time 37.5 hours per week Monday to Thursday, 8:45am to 5pm and Friday 9am to 4pm with 30 minutes for lunch. To support the Operations side of the business, the successful applicant will provide a high level of administrative support to the Operations Department ensuring compliance across all duties and to be the central point of contact for Operations managers. Should have previous administrative experience and a keen aptitude to learn and be able to demonstrate the following skills.
Responsibilities
* Provide general administrative support to the operations team
* Maintaining and updating our CRM package and other internal databases
* Diary management, scheduling appointments and client meetings for various operational managers
* Preparing quote packs for existing clients
* Liaise with suppliers for ordering of products/uniform, maintaining new, existing and terminated client set ups
* Monitoring our suppliers for efficient service delivery
* Manage supplier ordering system for stock delivery to client sites
* Production of site visits for all client contracts
* Assist with stores management
* Collate and produce monthly operations reports
* Answering telephone calls and dealing with customer queries, providing excellent service and resolving issues promptly
* Assisting with day-to-day HR administration tasks; ensuring that all employee and HR records are accurate and up to date
* Manage the recruitment process
* Ensure purchase orders are in place where applicable
* Attend meetings to take minutes
* ISO internal auditing
* Assist with administration tasks such as dealing with incoming and outcoming post, filing and maintaining office emails
* Support the Administration and Sales Department where required
* Help in developing and implementing new operational processes and procedures to enhance efficiency
* Other duties as required
Requirements / Qualifications
* An excellent attention to detail and efficient time management with a proven track record
* You must demonstrate excellent communication skills - verbal, written and telephone
* You must demonstrate competence with Microsoft Word, Excel, Outlook as a minimum
* You must demonstrate an understanding of the legal requirements related to employee data and HR administration to ensure compliance
* You must demonstrate an ability to identify issues, find solutions and resolve operational challenges
* You must demonstrate an ability to handle sensitive information with discretion and maintain confidentiality
* £25,800 - £27,500 per annum
* 20 days annual leave entitlement pro-rata plus Bank Holiday allowance, increasing to 25 days pro-rata with 5 full years' service
