Job overview

The post holder will play a vital role in supporting the smooth operation of the Acute Clinical Stroke Service by ensuring accurate, efficient, and effective data management. This work underpins the delivery of a high-quality service for patients, allowing clinical teams to focus on providing exceptional care.

As the Stroke Data Administrator, you will be responsible for managing and maintaining comprehensive stroke data within the Sentinel Stroke National Audit Programme (SSNAP). This will involve extracting and inputting key information from patient medical records and care pathways into the national database.

Working under the supervision of the Clinical Stroke Specialist Nurse, you will also prepare and provide data reports as required, liaising closely with all members of the multi-disciplinary team.

You will deliver an efficient and responsive administrative service, demonstrating flexibility, professionalism, and strong teamwork. The role will also include providing cross-cover during periods of absence to ensure continuity of service.

In this position, you will work collaboratively with department secretaries, clinical leads, stroke support staff including therapies, SSNAP representatives, and other administrative colleagues to provide a reliable and adaptable service to the Stroke Team, as well as maintain links with ICBS, the Stroke Association, and the East of England network.

Main duties of the job

Communication – Communicate clearly and professionally across the MDT, providing excellent service in line with Trust values. Handle enquiries sensitively, escalate appropriately, and share information to support service improvement.

Analytical & Planning – Accurately update patient and activity records, maintain SSNAP data quality, run reports, and resolve data issues. Manage electronic patient records, support meetings, liaise with regional stroke teams, and provide cross-cover as needed.

Leadership – Work independently using initiative and sound judgement. Manage and prioritise workload, maintain confidentiality, and keep the Service Manager and SSNAP Lead informed of progress, risks, and delays.

Data Quality & Audit – Produce reports, analyse patient records, support audits and research, and ensure accurate coding and data interpretation.

Training – Complete mandatory training and appraisal, support new staff, and assist with implementing new policies and procedures.

Qualifications

Essential criteria

1. Educated to GCSE level or equivalent, including English and Mathematics.
2. Computer literate with demonstrable experience equivalent to ECDL standard or above.

Desirable criteria

3. Evidence of ongoing professional development relevant to data management or NHS administration.

Experience

Essential criteria

4. Experience of working in an administrative or data-focused role within a busy healthcare or customer-focused environment.
5. Experience of using databases and electronic systems to input, manage, and maintain accurate records.
6. Experience of working both independently and as part of a multidisciplinary team.
7. Experience of prioritising workload, meeting deadlines, and managing competing demands.

Desirable criteria

8. Experience of working within an NHS acute setting.
9. Experience of supporting clinical teams, including liaison with nursing, medical, and therapy staff
10. Experience of data collection, validation, reporting, or audit activity.
11. Experience of organising meetings, including agenda preparation and minute taking.

Knowledge

Essential criteria

12. Working knowledge of Microsoft Office applications, including Word and Excel, with the ability to produce reports and manage data.
13. Understanding of the importance of data quality, confidentiality, and information governance within healthcare.
14. Awareness of patient pathways and the role of data in monitoring service performance and outcomes.

Desirable criteria

15. Knowledge of NHS IT systems (e.g. patient administration systems, electronic patient records).
16. Knowledge of medical terminology relevant to stroke or acute services.
17. Awareness of national audits and performance frameworks, such as SSNAP.
