Mode Search is partnered with a Global Luxury Brand in their search for an Executive Assistant.


This brand is currently performing extremely well in the market this brand can offer excellent growth and progression opportunities.


Operating full-time at their office in London.


Responsibilities

* Perform all secretarial support activities requested by the responsible for a high standard of secretarial & administrative services.
* Liaise with directors, executive assistants, and others ensuring meeting function requirements as above, taking into consideration travel and time zones where applicable, and organizing conferencing facilities if required.
* Intensive Diary management
* High-level accuracy and time management to deal with complex international travel arrangements and expense processing.
* Provision of a timely and accurate word-processing service including extensive email correspondence and liaison, itineraries, letters, etc.
* Organise Offsite Meetings – including finding a venue, arranging appropriate facilities i.e. AV equipment, catering, travel arrangements to the venue, etc., and using Concur to process expenses related to these including obtaining finance authorization.
* Ensure the coordination of all activities and communication with the Division and with other departments.
* Liaise with relevant departments to ensure a smooth flow of data and information. Keep and manage diaries, with a high level of autonomy and priority setting, liaising with other departments to set routine and on-request meetings.
* Arrange meetings, create agenda proposals, prepare support presentations, book rooms and conference facilities, and supervise all organizational aspects
* Liaise with and assist department colleagues on specific special projects.
* Liaise with colleagues and external agencies to organize business travels, monitor costs and comply with the related budget.
* Produce correspondence and documents, ensure distribution, and keep files of incoming and outgoing documents, presentations, and records.
* Fluent Italian speaking


Requirements:

* Time Management, strong verbal and written communication skills
* Strong working knowledge of Excel, PowerPoint and Microsoft OS
* Ambitious, and suited to a fast-paced working environment
* Strong organisational and teamwork skills, ability to multi-task effectively
* Proven ability to adapt and be agile in an evolving and scaling organization
* A genuine interest in Fashion, Beauty & the Creative Industry
* Discretion, integrity, and trustworthy
* Commitment to follow tasks through and multi task
* A proven track record of achievement, including working at a senior executive level
* Experience in extensive global travel arranging
