This world renowned luxury fashion business are seeking an exceptionally well organised PA to support their super busy MD for EMEI.You will be responsible for coordinating their calendar, arranging meetings, preparing reports, deal with confidential information as well as being the right hand support and acting as their representative.You will be an integral part of the office team and act as the go to person for various teams across the EMEI region.
This is a fast paced role that will require someone to have excellent communication skills as well as being able to juggle several conflicting priorities at any time.
You will also support the HR Director with the smooth running of the office operation including front of house and any related office management projects or maintenance.
Based in beautiful offices that reflect the brand in Central London, this role is primarily office based however there is flexibility to work from home. This would suit a PA who has gained experience within the luxury/fashion/media/creative sector.
The role in a nutshell
·Provide full PA support to the Managing Director
·Anticipate the needs of the Managing Director by resolving operational and administrative issues before they arise
·Perform administrative tasks in a timely manner with attention to detail, high volume calendar management, preparing and tracking expense reports, meeting organisation
·Arrange and coordinate travel for the MD and remaining UK head office staff as required and organise itinerary for visitors from overseas head offices
·Coordinate all presentations, and prepare reports/proposals for other employees as directed by Managing Director
·Communicate effectively and in a timely manner with Managing Director and key stakeholders
·Can multi-task, meet deadlines and ensure quality of work provided is of high standards
·Be actively involved in new projects as directed by Managing Director, offer solutions to problems and deliver presentations in power point format
·Support when required with the smooth day to day operations of the London Head Office
·Act as a focal point of contact within your team and with other departments across head office, including the handling of confidential / sensitive information
·Provide a high level of professional administrative support as well as manage and coordinate several company events, activities and off-sites that arise on an on-going basis
·Be an active member social committee and organise events such as the Christmas Party
·Liaise with the wider office team on space planning, arranging lunches and deliveries
·Prepare office and brief employees for all important visits from overseas offices
·Develop and improve the efficiency of team processes, and serve as the lead on various standalone projects
·Be able to work in a professional and fast paced environment and set priorities
·Undertake other ad hoc projects as required
·Draft correspondence /responses on behalf of Managing Director
·Build a strong and professional working relationship with colleagues and external parties
