Summary:
TheExecutive Assistant will provide the Chief Procurement Officer andCPO staff with executive administrative support including but notlimited to the principal duties and responsibilities This ExecutiveAssistant will encounter sensitive and confidential information andthe role requires an individual who is experienced in responding tocomplex situations and handling sensitive materials in a discreettimely manner. The ideal candidate will require little to nosupervision takes initiative is well organized is flexible and canmanage multiple priorities simultaneously.
Responsibilities:
Perform Administrative and Office Support Activitiesincluding but not limited to the creation/revision ofpresentations/reports correspondence and Excel worksheets as wellas management of calendars and emails.
Handlecomplex and confidential situations and requests.
Establish & sustain relationships with CPO reportsand other key stakeholders.
Field and managecorrespondences/requests in a courteous & professional manneron behalf of the CPO as necessary. Follow up with stakeholders onbehalf of the CPO as required.
Proofreaddocuments and ensure accurate/consistent data beforedistribution.
Monitor and update online recordsand folder systems to ensure that information is easilyretrievable.
Support printing and copying asneeded.
Ensure security integrity andconfidentiality of data and information.
Coordinate and prepare the CPO for meetings andpresentations.
Maintain and/or assist inmaintaining the calendars/schedules for CPO and CPO staff
Ensure recurring team meetings occur on a routinebasis.
Secure conference rooms or other venuesfor applicable meetings.
Attend meetings uponrequest to record transcribe and summarize discussion topics forreports and memos.
Plan and assist in thecoordination of events.
Coordinate and maintaindepartment budget including monitoring tracking expenditures andinvoices.
Provide coverage for the ExecutiveAssistant to the CAO / Office Manager when absent.
Maintain administrative procedures and identifyopportunities for improvement.
Perform relatedduties and projects as assigned.
