Plexal delivers projects for key government departments and global tech companies including the National Cyber Security Centre, Department for Science, Innovation and Technology, Foreign, Commonwealth and Development Office, Amazon Web Services and IBM. The NCSC For Startups alumni of over 60 companies has collectively raised over £430m and created over 700 jobs, while 72 cyber startups that have gone through Plexal’s LORCA accelerators have collectively raised over £300m, generated more than £68m in revenue and hired over 800 people.
What you’ll do
As the first point of contact for our members and guests, you will play a crucial role in creating a welcoming and inclusive atmosphere. Your primary responsibility will be to ensure the smooth functioning of the front desk, while fostering a sense of community among our diverse members.
This role in particular plays a key part in the functioning of the community team, taking ownership for many front of house processes and tasks to ensure that high standards are maintained at all times.
• Create a welcoming and friendly environment for everyone who walks through Plexal’s doors – ensuring the highest level of member/guest experience
• Ensuring that Plexal is operating efficiently – keeping the centre clean, neat and functioning well.
• Morning check of meeting rooms and communal areas prior to members arrival to ensure fully stocked and tidy
• Using the CRM regularly and effectively so effective tracking and query resolution can take place
• Keeping to health and safety and professional building requirements
• Answer the phone and the community inbox to deal with queries in a friendly and helpful manner
• Confident to answer basic IT and facilities queries
• Oversee the mail and parcel collection/distribution process
• Helpdesk management – ensuring all ticketing is resolved quickly
• Set up access/security passes, parking allocation, basement locker and bicycle passes
• Host and attend community events and initiatives
• Building relationships with our members through regular engagement and community events
• Undertaking onboarding tours with new members when required
• To plan & distribute the weekly community rota, taking into account the needs of the individual roles within the team, holiday, events and appointments
• To be responsible for the community team inbox; checking all queries are dealt with amongst the team in a professional and timely manner
• Responsible for ensuring all complaints are logged and escalated when necessary
• To be the lead point of contact between the landlord front of house team and the Plexal front of house
• Raising PQs and ordering consumables
Who you are
• Confident to answer basic IT and facilities queries
• Proven administrative experience of working in a fast-paced team environment.
• Confident in liaising and collaborating with senior management on a variety of tasks.
• Experience of using CRM systems.
• Excellent organisation and time management skills.
• Strong accuracy and attention-to-detail skills.
• Fully literate with MS office tools such as Word, Excel and PowerPoint.
