Job Title: Administrative Assistant
Location: London Paddington
Remuneration: £17.23 per hour
Contract Details: Temporary, 4 days/week (Mon - Thurs), until 31st December 2025
Responsibilities:
Coordinate both virtual and in-person events. Own all aspects including catering, venue selection, and logistics for internal events, off-sites, speaker series, morale events, large meetings, and celebrations for the London Engineering Community. 🎉
Serve as the primary contact for the engineering community regarding on-site support requests, ensuring timely triage and follow-up with appropriate stakeholders.
Collaborate with partner teams such as IT and Facilities on hardware tracking, space planning, office updates, and facilities requests.
Manage daily access requests to engineering floors in conjunction with the Security team.
Provide end-to-end process support, including PO creation and budget tracking.
Oversee procurement and distribution processes for swag items.
Participate in cross-collaboration efforts, supporting site governance meetings, leadership team meetings, focused initiative groups, and other group meetings as required.
Maintain distribution lists, security groups, and organisational charts for the London engineering community.
Assist with various projects as requested by the Business Operations Team.
Candidate Requirements:
Proven excellence in administrative support and event coordination, with experience in fast-paced environments.
Strong multitasking abilities with a focus on timely execution and excellent follow-up skills.
Highly organised with exceptional cross-functional collaboration skills.
Proactive problem-solver who can work independently and handle tasks with urgency. ⚡️

Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, OneNote, Teams).
