Role/Department
A vacancy has arisen in the Private Equity Operations team. You will be a key member of the administration team, supporting the wider team that administers a variety of clients or a single large client with an active investment portfolio.
Key responsibilities
* Build and maintain strong client relationships with the Investment Advisor and other third parties.
* Develop a thorough knowledge of the client’s bespoke requirements and key processes.
* Resolve complex issues and queries in partnership with the client.
* Collaborate with other Northern Trust teams to fulfil client deliverables.
* Own the delivery of key client tasks and organise the team to meet deadlines.
* Run project‑level initiatives with the client for more complex activities.
* Understand fund‑administration business.
General tasks
* Daily cash‑management in line with policy, including ad‑hoc items.
* Process and review FX transactions.
* Process invoices on the client’s bespoke system.
* Arrange loan‑facility amendments as required.
* Monthly client money‑and‑bank reconciliations.
* Investor call/disttribution cycle.
* Signatory review of bank updates.
* Investor transfer process.
* Bank detail updates.
* Audit confirmation monitoring.
* Tax‑reporting for investors.
* Minor investment process actions.
* AML investor reviews of high‑risk complexity.
* Fund closings and related party organisation.
Team Administration
* Monitor mailboxes and complete tasks from senior fund admin or management.
* Provide on‑the‑job training where needed.
* Support other members and rotate tasks regularly.
* Review junior work.
Company Secretarial Knowledge
* Attend director meetings and write minutes.
* Assist client and lawyers with special‑purpose vehicle set‑ups.
* Adhere to constitutional documentation for entity operations.
* Ensure controls and procedures are followed as per policies.
Risk Management & Efficiencies
* Identify efficiencies and improvements to reduce risk.
* Ensure technology is fully utilised effectively.
* Work with tech to resolve issues and improve processes.
* Co‑operate with legal/compliance to keep funds in compliance.
* Report operational issues promptly to management.
* Flag service delays early.
* Act as SME with limited support.
* Review daily controls and propose procedural changes.
Skills/Qualifications
* Senior Fund Administrator with signatory experience preferred.
* Excellent organisational skills handling multiple priorities.
* Enthusiastic and positive attitude.
* Customer‑service orientation with quality concern.
* Analytical and problem‑solving skills.
* Clear communication to small groups.
* Initiative to prepare procedures and checklists.
* Priority setting and deadline management.
* Advanced Excel and investment knowledge a plus.
* Financial‑instrument knowledge, local regulations, laws.
* Business or finance qualification is an advantage.
* Team player, self‑starter, flexible, works under pressure with minimal supervision.
