Role Overview:
We are seeking a dynamic and proactive Medical Operations Assistant to support our growing medical department. This hybrid role combines administrative support, on-the-ground supervision, staff coordination, and customer engagement. The successful candidate will play a key part in ensuring our medical operations run seamlessly, both from behind the scenes and on the frontline; shadowing and assisting the medical operations manager
Key Responsibilities:1. Event Operations & Coordination
* Assist with day-to-day planning and scheduling of medical staff.
* Monitor staff blowouts and provide immediate cover solutions to ensure event continuity.
* Attend and work medical events, providing leadership and ensuring client satisfaction on-site.
* Support medical event set-up and breakdown when required.
2. Administration & Office Support
* Manage administrative duties for the medical Department, including compliance paperwork, staff files, event documentation, and reports.
* Maintain accurate schedules, shift rotas, and booking confirmations for medical operations.
* Update event trackers, client feedback logs, and internal communications records.
3. Sales & Customer Engagement
* Conduct outreach and follow-up with potential and existing clients to promote K4's medical services.
* Assist in creating proposals and quotes for new bookings.
* Represent K4 professionally, both on-site and over the phone, helping to build lasting client relationships.
4. Internal Team Support
* Collaborate closely with internal departments including recruitment, HR, and finance for seamless event execution and medical operations.
* Support induction and onboarding of new medical team members.
* Be a team player who contributes to company growth and culture — becoming a valued member of the K4 family.
Person Specification:
Essential:
* FREC 4 qualification (preferred)
* Ambulance Tech qualification (ideal)
* Strong administrative and organisational skills
* Confident in coordinating clinical teams and daily practise operations
* Excellent communication and interpersonal abilities
* Experience working in events or operational roles
* Ability to handle fast-paced, high-pressure situations
* Confidence in managing schedules and last-minute changes
* Medical operation knowledge
* Counting inventory, labelling and organisational skills
* Data entry and basic analysis
* Patient care
* Support of day-to-day operations
Desirable:
* Previous experience using scheduling software
* Proficient in using standard office software (e.g MS )
* Sales or customer service background
* Local knowledge of the Hounslow or surrounding areas
