About Our Work Support Through Sport, based in Nottingham, delivers sport-based intervention, mentoring, and progressions programmes to thousands of disadvantaged young people, empowering them to develop pro-social behaviours and providing a lasting positive impact within underserved communities. Our journey began in 2021, growing to become a well-established and reputable charity working at the intersection of sport and youth work, to impact thousands of disadvantaged young people throughout the Midlands.We work to a theory of change which ultimately provides at-risk young people with protective factors, diverting them away from negative influences such as; violence affecting young people, youth offending, anti-social behaviour, group violence and knife crime. We strive to provide young people with meaningful support, guidance and opportunities which enable every young person to achieve their full potential.Key Information Position: Personal Assistant to CEOReporting To: Founder and Chief ExecutiveHours: 20 hours per weekContract: Part-time, permanent (6 month probationary period)Salary: £26,000 FTE (Pro rata 20 hrs/week: £13,867 per annum)Location: Nottingham office with occasional Regional and National travelPension: 3% employer contribution (Nest Pensions)Role Overview Support Through Sport CIO is seeking a highly organised, proactive, and trustworthy Personal Assistant to provide high-quality executive and administrative support to the CEO. This role is central to the smooth running of the organisation, helping to protect the CEO’s time and energy, enabling them to focus on leadership, relationships, and strategic priorities that directly benefit young people and communities. This role requires excellent judgement, attention to detail, and strong communication skills as well as excellent organisation and time management. You will act as a trusted point of coordination across the charity, supporting governance, operations, and relationships in a calm, professional manner. As a member of the Senior Leadership Team, you will have the opportunity to shape the future of a thriving and ambitions youth work charity - driven to make a difference for disadvantaged communities and young people. Tasks and Responsibilities Executive Support Manage and maintain the CEO’s diary, scheduling meetings, appointments, travel, and eventsPrepare meeting agendas, briefing documents, and take accurate minutes as requiredTrack and manage key deadlines, priorities, and follow-up actions on behalf of the CEOHandle confidential correspondence and information with discretion and professionalismAct as gatekeeper and first point of contact for internal and external communications to the CEOCommunication and Relationship Management Liaise with internal teams, trustees, partners, funders, and external stakeholders on behalf of the CEODraft, format, and send communications including emails, reports, letters, and presentationsSupport relationship management with partners and funders by ensuring timely follow-ups and coordinationArrange appointments and stakeholder meetings to ensure excellent relationship management Organisational SupportAssist with the coordination and administration of key organisational projects and prioritiesSupport the CEO in monitoring progress against actions and work plansCarry out light research and prepare briefings to support informed decision-makingMaintain well-organised records and files relating to CEO work streams and organisational operationsGovernance and Compliance Support preparation and circulation of Board and Trustee presentations and papersCoordinate CEO communications and track actions arising from meetingsMaintain an accurate calendar of governance meetings and compliance requirementsSupport staff and volunteer onboarding and engagement as requiredEvents and Management Assist with planning and delivery of events involving the CEO, including speaking engagements, community visits, and partnership meetingsCoordinate logistics, materials, and follow-up for events, conferences, and meetingsAdministrative SupportProvide ad-hoc administrative support to the wider leadership team where capacity allows, as directed by the CEOMaintain key contacts, internal systems such as Bright HR, and up-to-date records Ensure all administrative work reflects the charity’s values, ethos, and commitment to professionalismPerson Specification Essential Attributes Proven administrative experience, ideally supporting senior leadership in a charity, public, or community sector settingExcellent organisational and time management skills with strong attention to detailConfident written and verbal communicator, able to liaise professionally at all levelsTrustworthy and discreet, with the ability to handle sensitive information with integrityProactive and solution-focused, able to work independently and take initiativeStrong judgement and ability to prioritise effectivelyProficient with technology and systems, including M365 and HR platformsPassionate about youth and community workDesirable Attributes Interest in mental health, sport, or wellbeingExperience working in small or medium-sized organisations or charitiesExperience supporting fundraising or partnership activityUnderstanding of governance and charity complianceAbility to work flexibly, including occasional evenings or weekends for key eventsBenefitsPositive working culture with a supportive, mission-driven teamOpportunity to contribute to meaningful work and make a real difference for young peopleA chance to help shape the operational foundations of a growing organisationOpportunities for professional and personal developmentCharity pension scheme Reasonable expenses paid Quiet office with on-site parkingTraining, CPD and ongoing support Employee Assistance Programme BrightExchange offers and discounts
