Job Description

My client are seeking an experienced Secretary to provide high-quality secretarial, administrative, and typing support to fee earners, ensuring efficiency, accuracy, and excellent client service in line with the firm's standards and procedures.

Key Responsibilities
1. Deliver accurate document production through audio typing and word processing, including drafting legal documents and correspondence using firm templates.
2. Support digital dictation and general admin tasks across the firm.
3. Manage case files using electronic systems (e.g., I-Manage, Elite 3E), including document storage, scanning, e-faxing, printing, photocopying, and electronic filing.
4. Assist with file lifecycle management: opening, compliance checks, client care documentation, closure, and archiving.
5. Handle client requests for original documents, including retrieving from the strong room and ensuring compliance with release procedures.
6. Monitor incoming and outgoing communications, including scanned mail and email.
7. Organise meetings, travel, and manage diaries for fee earners.
8. Ensure fee earner compliance with internal procedures (e.g., Lexcel) and support billing/time recording.
9. Act as a professional first point of contact for clients, in person and by phone.
10. Provide flexible support across departments, including switchboard, mailroom, archiving, and hospitality as needed.
11. Maintain confidentiality and adhere to all firm protocols and procedures.
12. Participate in personal and professional development, including required training and achieving intermediate-level Microsoft Word accreditation.
Skills & Experience
13. Proven experience as a legal or administrative secretary, including use of digital dictation tools.
14. Proficient in Microsoft Office with accurate keyboard skills and strong attention to detail.
15. Strong written and verbal communication; able to remain calm under pressure.
16. Familiarity with legal formatting and document standards (e.g., track changes, firm styles).
17. Excellent organisational skills with the ability to prioritise and meet deadlines.
18. Team player with a proactive, problem-solving attitude and willingness to support new colleagues.
19. Experience in a professional services environment and basic understanding of legal work.
