Lead Administrator – Course Administration Management Department

Serco is contracted to provide Total Facilities Management to the Defence Academy of the UK (DA). This prestigious establishment is responsible for post-graduate education and most of the command, staff, leadership, Defence management, acquisition, and technology training for members of the UK Armed Forces and MOD Civil Servants. Serco supports the DA as the MOD's primary link with UK universities and international military educational institutions.
Serco have an exciting opportunity for an experienced Administrator to join our On and Off boarding team based at the Defence Academy. The Course Administration Management Department is currently working through a transformation project to enhance service delivery, and the On and Off boarding Hub is an integral part of the transformation. The Lead Administrators have a key role in this project, involved in the promotion, planning and delivery across the Defence Academy.
Key Accountabilities:
1. Processing Course Members/Student arrival/departure from Shrivenham Station, ensuring associated registers are accurately maintained.
2. Course Administration support to our Embedded Teams and Military customers
3. Maintenance of course communication and documents.
4. Communication with internal and external stakeholders
5. Updating students career profile with competencies at course completion
6. Liaising with external military and civilian institutions to gain relevant data.
7. After course work such as reporting and associated administrative tasks on various systems
8. Cross skilling to support across the wider team.
9. Mentoring and coaching of new starters
10. Management of Work Instructions
11. Assist Lead Admin/Specialist Co-ord/Team Leader or other departmental staff to undertake all required admin tasks, focussing on delivering service excellence.
12. Take a pro-active role within the Department to liaise with your colleagues and customers and be fully conversant with your workload.
13. Effective communication with your Serco/Military/Customer colleagues.

What you’ll need to do the role:
16. Good level of general education, preferably with GCSE’s (A-C) or equivalent in English and Maths
17. Ability to communicate at all levels, using a variety of communication methods (spoken, written, behaviour)
18. Ability to work in a team environment or individually
19. Ability to cope under pressure, with conflicting demands of customer and colleagues
20. Sound understanding of GDPR (General Data Protection Regulation)
21. Must be methodical, have proven organisational skills and able to work under pressure.
22. Problem solving skills are a must in this role.
23. Excellent customer service skills.
24. It is essential that the successful candidate is PC literate, with a good level of experience in MS Office including Outlook, Word, Excel.
25. You will have to gain enhanced clearance within the first 3 months of employment. Serco will arrange this on your behalf.
