Job Summary
The Service Administrator will provide vital administrative and customer service support to the fire protection service team. This role ensures the efficient scheduling of inspections, maintenance, and emergency call-outs while maintaining compliance with fire safety regulations. The Service Administrator will act as a central point of coordination between customers, field engineers, and suppliers to deliver timely, compliant, and professional fire protection services.
Key Responsibilities
· Serve as the primary contact for customer inquiries and service requests.
· Assist with scheduling planned preventative maintenance (PPM), repairs, and emergency call-outs in line with customer requirements and regulatory standards.
· Process and issue RAMs prior to work commencing.
· Process and issue service reports on completion of works
· Coordinate with field engineers to ensure they have the correct equipment, parts, and documentation for site visits.
· Support the Service Manager with reporting on KPIs, compliance, and customer satisfaction.
· Handle customer complaints and escalations in a professional and timely manner.
Skills and Qualifications
· Previous experience in an administrative or service coordination role, ideally but not essential.
· Strong organizational and time management skills with the ability to manage multiple priorities.
· Excellent customer service and communication skills, both written and verbal.
· Good IT proficiency, including Microsoft Office (Word, Excel, Outlook) and service management systems/CRMs.
· Experience in Simpro is an advantage but not essential.
· High attention to detail and accuracy, particularly when managing compliance and certification records.
· Ability to work under pressure and meet deadlines in a fast-paced environment.

Pay: £16,250.00-£18,850.00 per year
