Administrator- Fleet Administrator

Location: Eastleigh (hybrid options available)
Hours: Monday to Friday, 8AM-4PM/9AM-5PM
Salary: £25,000 P/A

You will be responsible for the smooth running of the Company Fleet, maintaining accurate records of vehicles across various systems, and ensuring compliance with Government rules and regulations. Scheduling of repairs or preventive maintenance, ensuring all drivers have a vehicle whilst minimising costs where possible.

You will act as first point of contact for all drivers, offering policy advice and guidance for all fleet related queries. You will also support with the planning, resourcing and migration of any acquisition fleet of vehicles and effectively communicate with the wider business where necessary.

You will perform a wide variety of administrative tasks associated with the Company Fleet, often within tight deadlines, and strive for effective communication with your own and other teams within the business.


Responsibilities:

* Ensure all vehicles are maintained with scheduled preventative maintenance and repairs.
* Ensure vehicles are ordered in line with replacement programme including raising purchase orders for new or replacement vehicles and carry out required administration for this function.
* To create new fixed assets for all additional vehicles to the fleet.
* To ensure all fixed assets are updated with correct information.
* To ensure drivers manual and policies are kept updated and the business is informed of changes.
* To achieve all standards for maintaining the fleet to achieve KPI targets.
* To ensure all paperwork and data is always recorded accurately.
* To maintain close liaison with our Logistics and Service departments.
* Ensuring vehicles are available in line with our recruitment plan.
* To responsibly refurbish, replace or discard of vehicles in line with the company parameters.
* Order, allocate and maintain fuel cards for all vehicles.
* Complete driving licence checks on all fleet drivers within the government guidelines and company policy.
* Ensuring policies and manuals are updated.
* Assist with Health and Safety procedures
* Work alongside other departments to ensure a smooth running process.


The ideal candidate will...

* Have strong administrative experience.
* Be knowledgeable in fleet/vehicles (preferred)
* Have good IT skills.
* Be approachable and have good telephone manner.
* Have experience in following policies and procedures.
