Front of House and Property Services Assistant – Residential

Proactive Personnel are currently recruiting for a receptionist based in Warrington. Our client works in the residential property industry with developments across the UK.

About this role

Greet, welcome and assist all visitors to our building warmly and positively Ensure the smooth and efficient operation of the reception area and foyer

Work positively and proactively with the team and take pride in ensuring a warm, professional and friendly service to all incoming and outgoing tenants, visitors and contractors in all respects.

What you do

You strive to achieve excellence in day-to-day inventory processes for our apartments and reception services for their buildings and contribute to a positive customer experience for tenants and visitors, whilst building good working relationships with staff and residents and helping to ensure the smooth running of the building.

Reception

This role reports to the Property Manager and you are responsible for:

1. Greet visitors to the building and direct them as appropriate
2. Log visitors and contractors into and out of the building, providing visitors passes as required
3. Ensure the foyer is always clean and well presented
4. Handle and store incoming parcels and tracking accordingly
5. Handle incoming deliveries and notifying relevant members of the team
6. Liaise positively with security staff updating them with any potential issues or concerns
7. Provide assistance to the property team to: book cleaners for apartment turnarounds attend to residents’ queries
8. log residents’ utility readings (electric, water and council tax) and communicate with utility companies
9. communicate access requirements to residents to facilitate completion of maintenance.
10. Provide support to other sites in the Midlands area with new builds and during busy periods
11. Maintain effective records and complete administrative tasks as required including the Active Building portal and Make Ready board
12. Provide regular updates to the Property Manager as required.
13. Conduct viewings of properties to assist the lettings team

You have:

14. Achieve excellence in reception services for our building and contribute to and contribute to positive customer experience for tenants and visitors
15. Build good working relationships with staff and residents and help to ensure the smooth running of the building
16. Work patiently, positively and proactively to minimise complaints.

Essential

17. GCSE English and Maths or equivalent
18. One year of experience working in a front of house or front desk reception role
19. Proficiency in Office software for emails and data entry
20. Understanding excellence in customer service
21. Knowledge of basic stock control and ordering
22. Basic Health & Safety matters
23. Understanding how utilities/council tax work
24. Listens and communicates well with colleagues, visitors and tenants
25. Good organisation skills to ensure all daily tasks are completed
26. Use own initiative to identify and prioritise tasks (knows what urgent v very is important)
27. Works quickly and efficiently
28. Handles challenging customers calmly and helpfully
29. Remains focussed under pressure
30. Loves to meet and greet
31. Cheerful, friendly, helpful and polite
32. Reliable and hardworking
33. Always looking for things to do
34. Flexible with a positive can-do attitude
35. Able to work alone for periods and help out the team in busy periods
36. Takes pride in their work and the service they provide.

Desirable

37. Customer Service skills training
38. First aid qualification
39. Fire Warden
40. Reception experience in residential buildings
41. Word, Excel, ability to pick-up in-house systems

37.5 or 40 hours per week

Monday – Friday

Options for working hours include starting at 8:30am and finishing at either 5pm or 5:30pm With a one hour lunch break
