Site Administrator & Communications Coordinator
Location: Plymouth, Devon
Salary: £28,000–£32,000

The Role
We are seeking a proactive and organised Site Administrator & Communications Coordinator to support the day-to-day operations for a large and successful company.
This is a varied, hands-on role providing administrative support across multiple departments, including HR, operations, and senior leadership. You will play a key part in ensuring smooth site coordination, efficient onboarding processes, and clear internal and external communications.
This position is ideal for someone who thrives in a fast-paced environment, enjoys variety, and is confident managing multiple priorities.
Key Responsibilities
1. Coordinate site visits, including diary management, logistics, and stakeholder liaison
2. Organise travel, accommodation, inductions, and onboarding for staff and visitors
3. Welcome and host visitors to site
4. Schedule and coordinate meetings across teams and external stakeholders
5. Assist with onboarding, recruitment administration, and employee records
6. Support HR processes and ensure documentation is accurate and up to date
7. Manage shared inboxes, ensuring timely responses and escalation where required
8. Support company communications, including website updates and internal messaging
9. Maintain office resources, supplies, and shared spaces
10. Manage notice boards and communication displays
11. Prepare, format, and maintain reports, documents, and presentations
12. Assist with requisitions and permit-to-work documentation (RAMS, forms, etc.)
13. Maintain environmental compliance records and systems
14. Process expenses for senior leadership and board members
Skills & Experience
15. Previous experience in an administrative, office coordinator, or site admin role (construction or similar preferred)
16. Strong written and verbal communication skills
17. Excellent organisational skills with the ability to manage multiple tasks
18. High attention to detail and accuracy
19. Proactive, flexible, and able to work independently
20. Confident using Microsoft Office (Word, Excel, Outlook, PowerPoint)
21. Ability to handle confidential information with discretion
22. Positive attitude with a willingness to learn
23. Able to thrive in a fast-paced, project-led environment
24. UK driving licence and own transport
