The Cardio Respiratory Department / Cardiac Catheter Suite at Lancashire Teaching Hospital NHS Trust has a part time vacancy for an enthusiastic and flexible person looking for a challenge in a post that is both interesting and varied.
We are looking for a person with excellent clerical skills and is a team player with a flexible approach to working. A good telephone manner is essential. You should be able to demonstrate good keyboard skills and have the ability to communicate effectively on any level.
You must also be able to demonstrate flexibility and use own initiative to carry out duties in such a way as to make a direct and positive contribution to the organisation, thus enabling the team to utilise their time in an efficient and effective manner.
Main duties of the job
You will provide clerical support i.e. typing procedure reports and letters, spreadsheets, waiting time reports in addition to filing, answering telephone calls and dealing with enquires for all patients attending the Cardiac Catheter Suite. The post holder’s main duties will include planning, organizing, directing and coordinating the work of the Unit
You will support the efficient channelling of communication between medical staff, GP’s, patients, relatives, members of the public and other disciplines within the trust
You will demonstrate excellent organisational skills, must be flexible in approach, able to exercise initiative and demonstrate a consistently high standard of professionalism, being aware of the need for confidentiality and integrity.

Detailed job description and main responsibilities

You will provide clerical support i.e. typing procedure reports and letters, spreadsheets, waiting time reports associated with the Cardiac Catheterisation Suite and Cardio Respiratory.
Audio transcription of Consultant dictation and transcription of and attendance in the Governance and Cardiology monthly meetings.
Provide an efficient appointments service liaising and linking with both patients and consultants.
Dealing with waiting list issues in conjunction with the Cardio Respiratory Department requirements.
Filing, answering telephone calls and dealing with enquires for all patients attending the Cardiac Catheter Suite
You will be responsible for obtaining relevant case notes for patients attending Cardiac Catheter Suite.
Collect and sort incoming mail to be actioned by medical secretary / consultant, or other healthcare professionals.
Deal with telephone enquiries as and when required in an efficient, tactful and diplomatic manner, ensuring that any messages/information are passed on quickly.
Assist Clinician with administrative duties related to the arrangement of meetings - collation of scans for specialist review meetings.
File patient investigations and correspondence.
Participate in an on-the-job development programme, with exposure to a range of the Medical Secretary’s duties and responsibilities, under the supervision of the Cardio-Respiratory Services Manager and Medical Secretarial staff.
Support Medical Secretary Colleagues and work flexibly when they are absent to uphold continuity of secretarial service and to provide cover during periods of annual/ sick leave.
To undertake other duties as and when required, as directed by Medical Secretary Colleagues and Cardio-Respiratory Services Manager.
Undertake duties in accordance with Trust policy and standard procedures in areas such as handling of case notes and appointment systems.
Observe the requirements of the Health & Safety at Work Act and Data Protection Act.

Qualifications
Essential criteria
1. GCSE Grade C or above GCSE or Functional Skills Level 2 Maths & English
2. NVQ at level 2 in Business Administration (or equivalent experience )
3. Typing or word processing qualification at RSA II (or equivalent experience)
4. Medical Terminology Qualification (or equivalent experience)
Desirable criteria
5. RSA III or equivalent typing qualification
6. IT qualification (ITQ at level 2 or equivalent)

7. Demonstrable experience of clerical work involving computerised systems
8. Demonstrable knowledge of medical terminology
9. Demonstrable experience of using audio transcription systems

10. Previous Secretarial experience in Cardiology
