Personal Assistant (PA) to the Headteacher An excellent opportunity for a highly organised Personal Assistant to deliver confidential executive support, diary management, and office administration within a busy secondary school setting. If you’ve also worked in the following roles, we’d also like to hear from you: Executive Assistant, School Administrator, Office Manager, Team Administrator, Senior Administrative Assistant, PA SALARY: £33,179 per annum FTE / Actual Annual Salary £27,883 (based on 38 weeks) Benefits LOCATION: Hedge End, Southampton, Hampshire (SO30) – Fully Site Based JOB TYPE: Full-Time, Permanent WORKING HOURS: 37 hours per week, 8.00am to 4.00pm Monday to Thursday, 8.00am to 3.30pm Friday, Term-time only (38 weeks) JOB OVERVIEW We have a fantastic new job opportunity for a Personal Assistant to join a modern secondary school, providing high-level administrative and organisational support to senior leadership. As a Personal Assistant you will deliver confidential executive support, managing diaries, handling correspondence, and coordinating meetings to ensure the smooth running of daily operations. You will also support the wider senior leadership team and assist within the main office when required. Working as a Personal Assistant you will play a key role in communication, reporting, and school administration, using management information systems and maintaining accurate records in a fast-paced education environment. DUTIES Your duties as the Personal Assistant include: Confidential Support: Provide a high-level, confidential Personal Assistant service to the Headteacher and Senior Leadership Team Diary Management: Coordinate schedules, meetings, and appointments efficiently Communication Handling: Manage email accounts, correspondence, and enquiries promptly Meeting Coordination: Organise agendas, take minutes, and arrange venues and catering Administrative Support: Maintain accurate filing systems and perform general office administration Data & Reporting: Use school MIS systems for reports, data entry, and administrative tasks Admissions Support: Assist with student admissions, appeals, and related processes Event Organisation: Support the planning and delivery of school functions and events Cross-Team Support: Provide cover and assistance across administrative teams when required Documentation Management: Collate and publish key documents including school improvement plans CANDIDATE REQUIREMENTS ESSENTIAL Previous experience in a Personal Assistant, Executive Assistant, or administrative role Strong organisational skills with excellent diary management and multitasking ability Excellent verbal and written communication skills Experience using Microsoft Office (Word, Excel, Outlook) and database systems Ability to handle confidential information with discretion and professionalism Strong attention to detail and ability to prioritise workload effectively Experience working in a busy office or administrative environment DESIRABLE Experience working within a school or education setting Familiarity with school management information systems (MIS) Experience supporting senior leadership or executives Knowledge of admissions processes or education administration First Aid qualification or willingness to obtain BENEFITS Friendly and sociable colleagues One fully paid wellbeing day per academic year Extended two-week October half term (trial period) Free on-site car parking Discounted staff membership for on-site leisure facilities Access to a public sector pension scheme Cycle-to-Work scheme Good transport links The organisation is committed to safeguarding and promoting the welfare of children and young people and expects all staff and volunteers to share this commitment.
