Job Description
As the Assistant Facilities Manager, you will play a key role in supporting the Facilities Manager to enhance and transform the workplace experience for our client and sub-tenants across the Bedford site.
In this role, you will assist in the delivery of all facilities management services, ensuring a consistent, high-quality experience for employees, visitors, and stakeholders. This includes managing workplace changes, maintaining operational standards, and ensuring the seamless coordination of cleaning, security, maintenance, catering, and other service lines.
Acting as a point of contact for client engagement, you will help foster a positive, proactive culture aligned with ISS and client values, ensuring every interaction contributes to a safe, efficient, and welcoming workplace.
Key Responsibilities
1. Support the Facilities Manager in the day-to-day delivery of all FM services, ensuring compliance with SLAs and company standards.
2. Manage and support on-site service teams, including cleaning, security, and front-of-house functions.
3. Coordinate workplace moves and changes, ensuring effective stakeholder communication and minimal disruption.
4. Monitor and report on maintenance activities, including PPM, reactive works, and compliance checks.
5. Promote and maintain a strong health and safety culture, ensuring adherence to legislation and company policies.
6. Build and maintain positive relationships with clients and stakeholders, ensuring high levels of satisfaction and service excellence.
7. Identify and implement opportunities to improve service delivery, workplace experience, and operational efficiency.
8. Ensure accurate record keeping, reporting, and communication with both ISS and client teams.
9. Lead, motivate, and support team members to foster engagement, accountability, and high performance.
10. Represent ISS with professionalism, integrity, and a commitment to delivering world-class service.
Professional and Personal Competencies/Qualifications
11. IOSH Managing Safely (or equivalent) qualification – or willingness to achieve.
12. Experience in a customer-facing Facilities Management or multi-service environment.
13. Proven ability to lead, motivate, and develop on-site teams.
14. Strong client relationship management and stakeholder engagement skills.
15. Excellent organisational, time management, and problem-solving abilities.
16. Sound knowledge of Health & Safety legislation and compliance requirements.
17. Strong communication skills, both written and verbal, with the ability to influence at all levels.
18. Competent in Microsoft Office and facility management systems.
19. Flexible approach with the ability to work under pressure and adapt to changing priorities.
20. Professional, proactive, and customer-focused attitude with a commitment to service excellence.
