We will continue to encourage and grow these activities to support organisations working to strengthen their communities.\n\nWe are looking to recruit a Modern Apprentice in our Glasgow office to provide flexible pro-active administrative, and secretarial support (including audio typing) firm wide, in accordance with firm policies, adhering to specific deadlines.\n\nKey Duties\n\n1. To work with colleagues in the admin team to ensure:\n\na. All incoming and outgoing mail is collected, opened, franked, scanned and delivered daily. Department mail trays to be checked regularly throughout the day.\n\nb. Requests to the shared support in-box are actioned in line with agreed internal response times as prioritised by line manager:\n\nc. Location of archived (including offsite files) is accurately recorded and managed in line with fee earner requirements, and can be retrieved quickly\n\nd. Offsite files and shredding requests are timeously\n\ne. Shredding bins are monitored to allow additional uplift requests to be made if required\n\nf. Photocopy documents as requested\n\n2. To assist cashroom with collating volume invoices eg Sheriff Officers fees\n\n3. To provide additional support for reception (including overflow calls) as required. Calls must be answered promptly in accordance with agreed standards.\n\n4. To produce documents, maximising available IT (LawWare, Word, Excel and Powerpoint):\n\na. In the style and layout required by their authors;\n\nb. Attaching copies of outgoing documentation to the relevant paper file at time of production;\n\nc. Time recording in accordance with instructions. via the LawWare document management system, ensure they are signed by a partner by pre-determined deadlines.\n\n5. To carry out general office âhousekeeping tasksâ as required throughout the day\n\na. Maintain photocopier paper levels to meet departmental requirements\n\nb. Check toilets daily to ensure levels of paper towels and soap are maintained at appropriate levels.\n\nc. Milk, tea and coffee supplies\n\nd. Dishwasher to be filled and emptied (daily)\n\ne. Prepare meeting rooms and provide/arrange hospitality, ensuring preparation areas and meeting rooms are kept clean and tidy.\n\nf. Assisting with any facilities tasks, including internal office moves\n\n6. To carry out local deliveries as required.\n\n7. To reproduce plans, colouring as required to ensure it accurately reflects the original.\n\n8. To adhere to stated policies and procedures as per the firmâs employee handbook. You will learn to work both individually and as a team in a busy office environment. You will work with our bespoke IT systems and learn how to use correct procedures when liaising with our customer base. -4 National 5s including English required for this role\n-good IT and communication skills. \n-Familiar with Word and Excel.
