Overview
Aquilo recruitment are working in partnership with a leading manufacturing business and, due to expansion, are looking to add a Personal Assistant to support the Director and members of the team. Key Responsibilities
* Working for members of the Executive team, provide administrative support to facilitate the smooth and efficient organisation of the relevant functions.
* Understand the responsibilities, needs and priorities of the Executives supported to create time and space for them to focus on strategic requirements.
* Work independently with little or no supervision; interact with colleagues at all levels in a fast-paced environment; act as an ambassador for the Company.
* Liaise with staff, customers and visitors in person and via telephone/email on behalf of managers in line with own work content.
* Handle a wide range of confidential information, including company policies, management objectives, reports and all aspects of Company business activities.
* Provide general administrative support including minutes, notes, reports and presentations.
* Manage diaries for managers, prioritising conflicting time demands.
* Organise events including room bookings and provision of refreshments.
* Prepare and submit approval forms including mileage and expenses.
* Process invoices on SAP.
* Liaise with other PAs in the UK and overseas to ensure smooth running of international arrangements.
* Distribute actions from meetings and follow up to ensure completion.
* Research and arrange travel including flights, chauffeurs, accommodation, trains, ferries and taxis for UK and overseas travel.
* Process incoming and outgoing post/email, and handle/delegate urgent documents in the absence of the manager with discretion and initiative.
* Maintain record of holidays for the Executive team.
* Assist in any operation to ensure smooth, efficient and effective activities within the business.
* Other duties as required.
Key Skills & Experience
* Experienced in a PA role, with experience in minute taking, diary management, event organisation, meeting planning and travel arrangement.
* Well-proven verbal and written communication skills.
* Confident, polite, friendly and professional manner.
* Strong administrative skills; well organised with the ability to plan own time.
* Experienced team player; proficient in MS Office.
* Self-motivated and able to work with minimum supervision.
