Department: Supply Chain / Warehouse / Intake The Role: To manage the day-to-day administration of inbound deliveries, ensuring that all bookings, documentation, and records are completed accurately and in a timely manner. The role also provides key administrative support to the intake team and ensures seamless communication with other departments, particularly Accounts. Key Responsibilities: Inbound Bookings Management: Coordinate and manage daily bookings for all inbound deliveries. Liaise with suppliers, hauliers, and internal teams to schedule delivery slots. Maintain an accurate and up-to-date delivery schedule. Documentation and Paperwork: Complete all necessary paperwork for all inbound and outbound loads. Ensure all relevant load information is correctly recorded in internal systems. Check and verify delivery documents for accuracy and completeness Proof of Delivery (POD) Management: Ensure PODs are completed, collected, and filed correctly. Send completed PODs to the Accounts team in a timely manner. Follow up on any missing or incomplete PODs. Team Support: Act as the first point of contact for the intake team on administrative matters. Provide day-to-day administrative support to the intake team to help facilitate smooth operations. Work closely with warehouse and intake staff to ensure accurate recording of stock movements. Communication and Coordination: Maintain effective communication with suppliers, hauliers, and internal departments. Proactively manage changes to delivery schedules and communicate updates as required. Support the Intake Manager and wider team with ad-hoc administrative tasks. Skills & Experience Required: Previous experience in an administrative or clerical role, ideally in a warehouse, intake, or logistics environment. Strong organisational skills with the ability to manage multiple priorities. Excellent attention to detail and accuracy. Good IT skills, particularly Microsoft Office (Excel, Word, Outlook). Strong communication skills, both written and verbal. Ability to work effectively as part of a team and independently. Key Attributes: Proactive and self-motivated.
