The Role The People and Place function playsa central rolewithin SONI, helping to create a workplace where people, processes and technology can thrive. As a Workplace & FacilitiesSpecialist, you will provide practical, peoplefocused workplace support andwork closely with colleagues and externalpartnerstomaintaina positive and accessible environment across our sites. You will contribute to ensuring that our facilities run smoothly, safely and in line with our organisational values. A significant part of this role involves collaborating with trusted externalpartnerswho deliver workplace services.You will build strong,supportiveworking relationshipswith these providers and help ensure that services are deliveredwith a focus on quality, inclusion, value for money and colleagueexperience.These services include facilities management, security,cateringand health & safety. You may also be involved in workplace and estate-related projects. You will playan important rolein monitoring service effectiveness,identifyingopportunities for improvement and ensuring that our practicesremaincompliant,accessibleand aligned with our commitment to a positive workplace culture. SONI maintains ISO 45001 (Occupational Health & Safety) and ISO 14001 (Environmental Management) accreditation.Working with our HSESpecialist, you will help to ensure these standards are upheld through activities such as audits,reviewand improvementinitiatives. This rolewill suit someone who has a facilities, health &safetyor vendor management background. The roleis based in Belfast and is offered on a parttime basis (23 days per week), with flexibility to adjust hours as needed. Key Responsibilities Build positiveday-to-dayrelationships with externalpartnersproviding workplace facilities, Health & Safety, security and catering services, supporting ahigh qualityandinclusivecolleague experience. Contribute to thethoughtful,efficientand inclusive use of the workplace space as part of ourmodernisationprogramme. Engage proactively with stakeholders to understand needs and help ensure onsite expectations are met. Build andmaintainstrong, collaborative relationshipsacross the organisation and with externalpartners. Support effective vendorrelationships,helpingwith thetimelydelivery ofservices within agreed budgets. Follow agreed procurementto support fair,transparentand compliant activity, includingmonitoringtimelines andassistingwith procurement whenrequired. Helpmaintaina safe,accessibleand legally compliant working environment, meeting all statutory fire,healthand safety standards. Support the implementation and review of building procedures and workplace performance measures. Contribute to meeting Critical Environment Management (CEM) requirements across operational areas, including the data centre, communicationsroomsand Control Room. Assistwith workplace andestate relatedprojects, collaborating with internal teams and suppliers. Work with partners toidentifyopportunities forcontinuous improvement,costeffectivenessand enhanced standards. Participate inoccasionalout-of-hours emergency call support and occasional onsite attendance when needed. Support the property risk management programme, including audits andfollow-upactions. Contribute to the development, maintenance and testing of disaster recovery and business continuity plans. Supporteffective incident reporting and escalation processes. Promote safe working practices and a positive Health & Safety culture inpartnership with our strategic HSE provider. Prepare monthly updates andad hocreports to supportinformeddecision making. Support regulatory Health & Safety requirements and the development of related programmes. Assistwith the preparation for surveillance audits related to ISO 14001 and ISO 45001. Contribute to a collaborative, supportive and high-preforming team environment that values learning and inclusion. Supporthigh qualityaccident and incident investigations to inform safer practices. Work collaboratively with the Finance team to support responsible budget and cost management in line with Delegated Control Framework guidelines. Any other reasonable duties as may berequired. Critical Knowledge,Skillsand Experience Experience in workplace facilitiesor health &safety or vendor managementalong with service or operations management, with a focus on process excellence. Strongwritten andverbalcommunicationskills. ExperiencewithHealth & Safety and Environmental Management Systems. Strong understanding of NI Health & Safety legislation. Ability tosupport and influence positive organisational change. Strongrelationship buildingskillsand theability toworkwith diverse stakeholders.
