Join Our Team as Senior Administrator! Are you a senior administrator looking for a new challenge? We are seeking a talented team member to join our growing team.


Company Overview

Rebuild with Hope is a charitable organisation established to support individuals with multiple barriers to employment, whilst supporting those suffering due to the rising cost of living. The charity currently has five stores with our flagship store in Wigan. These stores sell high street brands with discounts of up to 70% across all categories, homewares, clothing, gifts, toys, and accessories. We are committed to creating opportunities for those who need them most, empowering people to overcome challenges, build confidence, and create brighter futures. Role Overview

The Senior Administrator plays a key role in supporting the effective day-to-day operation of Rebuild with Hope Foundation. The postholder is responsible for overseeing administrative systems, ensuring compliance with organisational policies, and providing high-level support to senior leadership. Key responsibilities include managing office processes, maintaining accurate records, coordinating meetings, minute taking and communications, supporting governance requirements, and assisting with reporting to funders and stakeholders. The role also involves supervising administrative tasks, managing staff members, improving efficiency across systems, and acting as a central point of contact for internal enquiries. The Senior Administrator works closely with Director of People and Performance to ensure smooth delivery of services, contributing to the Foundation’s mission of supporting individuals and communities through rebuilding and recovery initiatives.


Key Responsibilities

* Oversee the day-to-day administrative functions of the organisation
* Develop, maintain and improve administrative systems and procedures
* Ensure accurate record-keeping, filing systems, and data management
* Act as a central point of contact for internal enquiries
* Coordinate correspondence, documentation, and information flow across teams
* Organise and support meetings, including senior management and trustee meetings
* Prepare agendas, circulate papers, and take accurate and timely minutes
* Ensure actions are recorded, tracked, and followed up appropriately
* Support compliance with organisational policies and regulatory requirements
* Line manage a small administrative team, providing supervision, guidance, and support
* Allocate workloads and ensure administrative tasks are completed effectively and on time
* Support staff development through regular check-ins, appraisals, and training
* Foster a positive, collaborative, and professional working environment
* Provide high-level administrative support to senior staff as required
* Assist with reporting to funders, partners, and stakeholders
* Support programme teams with administrative coordination and documentation
* Contribute to continuous improvement and organisational development initiatives


Skills and Experience


Essential

* Excellent organisational and time‑management skills
* Strong written and verbal communication skills
* Proven ability to take accurate, clear, and professional meeting minutes
* Experience of coordinating meetings and supporting governance processes
* Competent IT skills, including Microsoft Office (Word, Excel, Outlook)
* Proven experience in a senior administrative or office management role
* Experience of managing or supervising staff
* High level of attention to detail and accuracy
* Ability to manage multiple priorities and work independently
* Professional, discreet, and able to handle confidential information appropriately


Desirable

* Knowledge of data protection and compliance requirements
* Experience working in the charity, voluntary, or not-for-profit sector
* Experience supporting trustees or board meetings


Salary and Benefits

* £30,000 - £32,000 per annum based on FT 37.5 based on experience
